Job Summary

We are seeking a highly organized Office Administrator to support our property management operations. This role focuses on administrative coordination, high-volume data entry, lease preparation, and scheduling.

The ideal candidate is detail-oriented, comfortable working with property management systems, and able to manage multiple tasks in a fast-paced office environment.

Key Responsibilities

  • Perform administrative and high-volume data entry while maintaining accurate tenant and financial records
  • Prepare leases, rental agreements, and tenant documentation
  • Schedule property showings, maintenance appointments, inspections, and meetings
  • Manage incoming calls and emails with professional phone etiquette
  • Maintain organized tenant files, documents, and office records
  • Enter invoices, expenses, and financial transactions using Buildium
  • Communicate with tenants, vendors, and maintenance teams to coordinate services
  • Assist with document preparation, filing, and general office coordination
  • Monitor office supplies and support daily office operations
  • Quickbooks, minor accounting and book keeping

Requirements

  • Administrative and data entry experience required
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and schedules simultaneously
  • Proficiency in Microsoft Office (Advanced Excel required)
  • Experience with Buildium or similar property management software is an asset
  • Strong written and verbal communication skills
  • Professional phone etiquette
  • Experience in property management or real estate offices is an asset

Preferred Experience

  • Administrative or office experience
  • Data entry and document management
  • Lease preparation or tenant coordination
  • Microsoft Excel: 3 years (preferred)
