We have a senior level position available for a Document Controller. You will be a part of a managed services team that is focused on providing our customers with exceptional experience. You will be working within an environment where the ability to assess customer requirements and provide timely service is paramount.

Responsibilities include but are not limited to the following:

  • Serve as a senior member of the Document Management team, supporting business users and providing day-to-day guidance, troubleshooting, and decision-making to keep work moving.
  • Provides oversight to the document control team.
  • Administer document control activities within the EDMS, including document intake, uploads, metadata, numbering, revision control, workflows, permissions, and controlled distribution.
  • Review incoming, issued, and project deliverable documents to confirm completeness, accuracy, revision status, naming conventions, metadata quality, and alignment with client standards.
  • Ensure document requests, vendor submissions, QA/QC packages, redlines, as-builts, turnover records, and closeout documentation are processed accurately, professionally, and within required service levels.
  • Balance project and operational support priorities to meet client requirements, internal procedures, service level agreements, and critical deadlines.
  • Generate and maintain document control reports, including status reporting, completeness tracking, KPI updates, SLA monitoring, audit results, and closeout reporting.
  • Act as a primary liaison with Engineering, Operations, project teams, EPCs, vendors, and other stakeholders to resolve document control issues, reinforce standards, and support business needs.
  • Train and onboard internal users, external vendors, EPCs, and third-party document control resources on applicable document control processes, tools, standards, and expectations.
  • Develop, maintain, and improve document control standards, work instructions, and procedures in partnership with Operations, Engineering, and other key stakeholders.
  • Perform regular audits of controlled document collections to confirm documents are complete, current, identifiable, correctly stored, and protected for integrity and authenticity.
  • Identify recurring issues, process gaps, or non-compliance trends and recommend practical improvements, escalation paths, and best practices to strengthen document control program maturity.
  • Support team continuity through cross-training, knowledge sharing, relationship building, and participation in special projects as required.

Qualifications/Skills:

  • Must be legally entitled to work in Canada.
  • 5+ years of progressive document control experience, preferably in project, engineering, operations, energy, or managed services environment.
  • Post-secondary education in Information Management, Records Management, Business Administration, Engineering Technology, or a related discipline is preferred.
  • Strong understanding of document control principles, including document numbering, metadata, revision control, transmittals, workflows, controlled distribution, and document lifecycle management.
  • Experience working in an EDMS or document management system; experience with TDM is considered an asset.
  • Proficient with Microsoft 365 applications, including Outlook, Word, Excel, SharePoint, and Teams.
  • Able to work independently with minimal direction, exercise sound judgment, and make practical decisions within established standards and procedures.
  • Strong analytical thinking and problem-solving skills, with the ability to identify issues, recommend improvements, and keep work moving.
  • Demonstrated ability to prioritize competing requests, manage deadlines, and maintain accuracy in a fast-paced environment.
  • Strong customer service orientation with the ability to support business users professionally, consistently, and effectively.
  • Excellent communication skills, including the ability to interpret instructions, ask clarifying questions, explain document control requirements, and escalate issues appropriately.
  • Ability to build and maintain effective working relationships with internal teams, project stakeholders, vendors, EPCs, and external partners.
  • High attention to detail and a strong commitment to quality, completeness, consistency, and compliance with standards.
  • Sound understanding of confidential information, controlled records, and the importance of safeguarding information integrity.
  • Knowledge of oil and gas operations, engineering documentation, vendor data, or project turnover requirements is considered an asset.
