The Role As our Field Operations Manager, you will act as the vital bridge between executive leadership and physical site execution. You will be responsible for overseeing the execution, safety, quality, and financial performance of all field operations across multiple job sites. By standardizing construction processes, optimizing resource allocation, and mentoring field leadership, you will ensure that all Theodore Builders projects are delivered on time, within budget, and in strict compliance with safety regulations.

Position Summary The Project Coordinator provides essential administrative and operational support to our construction management team. This role is responsible for processing critical project documentation (RFIs, submittals, change orders), tracking project schedules, coordinating with subcontractors and suppliers, and ensuring clear communication between the field and the office. The ultimate goal is to keep project data accurate, organized, and readily accessible so that projects are delivered safely, on time, and within budget.

Core Responsibilities

Document Control & Project Tracking

  • RFI & Submittal Management: Log, track, and distribute Requests for Information (RFIs) and product submittals between subcontractors, consultants, architects, and owners to ensure timely approvals.
  • Drawing & Specification Updates: Maintain and organize the master set of project blueprints, architectural drawings, and specifications, ensuring the field team always has the most up-to-date revisions.
  • Project Logs: Keep accurate, real-time logs of all project activities, daily site reports, meeting minutes, and action items using construction management software.

Financial & Contract Administration

  • Change Order Management: Assist the Project Manager in tracking, pricing, and processing Change Order Requests (CORs) and maintaining the change order log.
  • Invoice Review: Assist in reviewing and verifying progress billing invoices from subcontractors and suppliers against work completed on-site.
  • Closeout Documentation: Coordinate the compilation of operations and maintenance (O&M) manuals, warranties, as-built drawings, and occupancy permits during the project closeout phase.

Communication & Logistics Coordination

  • Stakeholder Liaison: Act as a central point of contact for subcontractors, suppliers, and consultants to facilitate a steady flow of project information.
  • Procurement & Delivery Tracking: Coordinate with vendors to track material orders and delivery dates, ensuring long-lead items arrive on-site exactly when needed.
  • Permit Coordination: Assist in obtaining necessary municipal permits, street-use agreements

What We’re Looking For

  • Experience: 3-5 years of experience in construction project coordination, contract administration, or a similar operational support role. Direct experience in commercial construction is highly preferred.
  • Education: Post-secondary education (degree or diploma) in Construction Management, Civil Engineering, Architecture, or Business Administration is a strong asset.
  • Technical Skills: Strong baseline understanding of how to read architectural blueprints, engineering drawings, and contract documents.
  • Software Proficiency: Highly proficient with construction management technology (such as Procore, Bluebeam, Autodesk, or MS Project) and standard office suites.
  • Mindset: Extremely detail-oriented, highly organized, and proactive. Proven ability to manage multiple priorities and tight deadlines in a fast-paced environment.
