Your Team:
Join Flair Vacations, where strong agency partnerships and responsive support contribute to the continued growth of the business. Reporting to the Director, Business Development & Partnerships, the Agency Support Coordinator is responsible for supporting travel agency partners and providing administrative and operational support to the Business Development team. This role supports agency onboarding, account setup, partner communications, and engagement activities to ensure agency partners receive timely and effective support.
Working closely with internal stakeholders and external agency partners, the Agency Support Coordinator helps maintain strong partner relationships, supports day-to-day agency operations, and contributes to the successful delivery of business development initiatives. The role requires strong customer service, organizational, and relationship management skills, along with a good understanding of travel industry systems and agency operations.
A Day in the Life:
- Manage agency onboarding, including profile setup and maintenance in TTS, credential validation, licensing review, and collection of required business and banking information.
- Support the Business Development team with agency engagement plans, partner communications, and related initiatives.
- Provide support to agency partners on bookings, products, policies, promotions, and operational processes.
- Process booking file modifications, track service requests and exceptions, and report recurring service issues.
- Assist with webinars, training sessions, trade shows, and industry events.
- Support event planning activities, including venue sourcing, vendor coordination, negotiation support, FAM tour logistics, and on-site participation, as required.
- Prepare sales reports, business metrics, and other departmental reporting.
- Track departmental budget items, expenses, and related records.
- Maintain accurate agency and client information in TTS and CRM systems.
- Collaborate with internal departments to improve processes and support a consistent agency partner experience.
- Maintain current knowledge of Flair Vacations products, supplier offerings, booking processes, policies, promotions, and industry developments.
- Perform other duties as assigned.
What You Bring to the Role:
The preferred candidate should exemplify Flair's core values: honesty, efficiency, accountability, and respect, while demonstrating success in previous roles. Additionally, we are seeking individuals who possess:
- Education:
- Post-secondary education in Travel, Tourism, Business Administration, or a related field is preferred.
- Experience:
- Minimum 3–5 years of experience in the travel industry, travel agency environment, tour operations, or agency support.
- Experience supporting travel advisors, travel agency partners, or agency account management is strongly preferred.
- Solid understanding of vacation packaging, travel booking processes, supplier relationships, and travel agency operations.
- Hands-on experience using TTS (SoftVoyage) is required.
- Experience using a CRM platform is considered an asset.
- Experience generating Business Intelligence (BI) reports is considered an asset.
- Skills & Abilities:
- Exceptional customer service, communication, and relationship-building skills.
- Strong organizational and time management skills, with the ability to manage multiple priorities.
- Detail-oriented with a professional and solution-focused approach.
- Ability to work independently and collaboratively in a team environment.
- Proficiency in Microsoft Office applications, including Outlook, Excel, Word, and PowerPoint.
- Ability to quickly learn new systems, products, and processes.
- Strong verbal and written communication skills in English are required.
- Fluency in French is considered a strong asset.
- Requirements:
- Clear criminal record check and satisfactory employment references.
- Must be legally eligible to work in Canada without restriction.
