Full job description

About Hardy Sales

Hardy Sales Ltd. is a family-owned food distribution company, founded in 1982 and operating across Canada. We supply foodservice and retail customers from warehouses in British Columbia and Alberta, and import product from suppliers around the world.

Purpose of the Role

The Import & Logistics Coordinator is responsible for coordinating and tracking container imports from origin to final delivery, helping ensure products arrive on time, documentation is accurate, and avoidable demurrage, detention and storage charges are minimized.

The role also supports outbound ground freight, inventory and receiving activities, and helps maintain Safe Food for Canadians (SFC) and HACCP documentation. The coordinator will cross-train in Operations and provide backup support to the department as needed.

Key ResponsibilitiesImports (primary focus)

  • Shipment tracking: Monitor ocean, rail and land freight from international suppliers through to delivery at multiple warehouses. Keep ETAs current in the ERP and communicate updates to Purchasing, Sales and the warehouses.
  • Documentation and customs compliance: Review commercial invoices, bills of lading, arrival notices, health certificates and other shipping documents for accuracy and completeness. Coordinate with customs brokers and relevant parties to support CBSA and CFIA requirements, including applicable quotas and permits.
  • Supplier and carrier coordination: Communicate with international suppliers, freight forwarders, shipping lines, customs brokers and trucking companies to coordinate shipments, obtain documentation and follow up on delivery schedules.
  • Shipment issues and delays: Follow up on customs holds, shipping delays and delivery appointments. Work with the appropriate parties to resolve issues and help minimize demurrage, detention and storage charges.
  • Freight cost review: Review freight, brokerage, duty and related charges for accuracy. Identify discrepancies and follow up on unexpected costs.

Operations Support

  • Assist with outbound freight scheduling and coordination.
  • Prepare and maintain invoices, bills of lading, proof-of-delivery documents and related shipping records.
  • Monitor inventory information, including aging, expiry dates and stock discrepancies.
  • Support receiving activities, including reviewing and matching receiving documents and invoices.
  • Coordinate product bookings and reservations, and follow up on discrepancies as needed.
  • Prepare and maintain operational reports and records.
  • Cross-train in Operations to provide coverage and assist with day-to-day activities when required.

Food Safety and Compliance

  • Maintain accurate and organized documentation related to Safe Food for Canadians (SFC), preventive controls, traceability and HACCP requirements.
  • Assist with maintaining compliance records and supporting documentation.
  • Support product recalls, audits and CFIA inspections by gathering and organizing required information.

Qualifications

Required:

  • Minimum 3 years of experience in supply chain, freight forwarding, international logistics or a related field.
  • Working knowledge of international shipping, import documentation and customs processes.
  • Experience using ERP systems, shipment tracking tools and Microsoft Office, including Excel, Outlook and Word.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple shipments, coordinate with different parties and follow up on deadlines.
  • Strong communication and problem-solving skills.
  • Valid driver's licence and access to a vehicle.

Preferred:

  • Experience with food imports and CFIA requirements.
  • Familiarity with Safe Food for Canadians regulations and HACCP.
  • Experience coordinating refrigerated or reefer container shipments.
  • Post-secondary education in supply chain, logistics or a related field.
  • CIFFA or CITT training or certification.

Working Conditions

  • Full-time, in-office position in Langley, BC.
  • Monday to Friday, 7:30 a.m. to 4:00 p.m.
