Records & Information Management Assistant

We are currently seeking a Records and Information Management Assistant to join the Corporate Information Management Team. This position will support corporate information management (IM) initiatives and assist in implementing the Information Management Program across the organization. Working closely with business units, the successful candidate will provide guidance on information management requirements and promote awareness of related legislation, policies, standards, and best practices to support compliance and effective information governance.
Key Responsibilities:
This role will support document control practices, standards, and procedures for Engineering, Asset Management, and Capital Projects. The successful candidate will collaborate with stakeholders to maintain document control procedures, numbering conventions, revision control processes, and governance frameworks for technical and asset information. Responsibilities will also include records inventories, digitization, EDMS migration, records retrieval and disposition, and day-to-day information management and document control advisory services. The role requires a high degree of personal initiative, leadership, and sound judgment in organizing and coordinating activities related to assigned responsibilities.
What We’re Looking For:
The ideal candidate will have strong organizational, interpersonal, analytical, and communication skills, with the ability to develop guidance materials, training resources, and document control standards. They will collaborate effectively with stakeholders, manage competing priorities, and support continuous improvement of document control, information management, and governance practices.
What You’ll Need:
A college diploma in a related field, including specialized coursework in Records and Information Management (RIM). An equivalent combination of education and experience may be considered. Candidates must have three (3) to five (5) years of experience with electronic document management systems (EDMS), document control processes, and records management principles, including records inventories, classification systems, retention schedules, and related legislative requirements. Experience with Omega365, data migration, and document control in utility, engineering, construction, industrial, or other asset-intensive environments is considered an asset.
