Front Desk Receptionist / Guest Services Agent

Overview

Harbourview Inn & Suites is seeking a friendly, professional, and customer-focused Front Desk Receptionist to join our hospitality team. The ideal candidate will be responsible for providing exceptional guest service, managing reservations, handling guest inquiries, and ensuring a welcoming experience for all visitors. This role requires strong communication skills, attention to detail, and the ability to multitask efficiently in a fast-paced hotel environment.

Responsibilities

  • Welcome guests and provide a warm, professional first impression during check-in and check-out.
  • Manage hotel reservations through the Property Management System (PMS), online booking channels, and direct bookings.
  • Answer and direct incoming phone calls, emails, and guest inquiries promptly and professionally.
  • Process guest payments, deposits, refunds, and billing transactions accurately.
  • Assist guests with room assignments, local recommendations, directions, and hotel amenities.
  • Monitor room availability, occupancy levels, and reservation updates.
  • Coordinate with housekeeping and maintenance teams to ensure rooms are ready and guest requests are fulfilled.
  • Handle guest concerns, complaints, and special requests professionally and efficiently.
  • Maintain accurate guest records and reservation information.
  • Perform daily front desk administrative tasks, including reports, filing, and correspondence.
  • Ensure compliance with hotel policies, procedures, and brand standards.
  • Support sales initiatives by promoting hotel services, amenities, and special offers.
  • Assist with night audit duties and shift reports when required.
  • Maintain a clean, organized, and welcoming front desk and lobby area.

Skills & Qualifications

  • Previous experience in hospitality, hotel front desk, customer service, or administrative roles preferred.
  • Strong communication and interpersonal skills.
  • Excellent customer service and problem-solving abilities.
  • Ability to work independently and as part of a team.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace.
  • Experience with hotel Property Management Systems (PMS), Booking.com, Expedia, Best Western systems, or similar reservation platforms is considered an asset.
  • Ability to handle cash, credit card transactions, and basic bookkeeping tasks accurately.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and perform efficiently in a fast-paced environment.
  • Professional phone etiquette and guest relations skills.
  • Flexible availability, including evenings, weekends, and holidays when required.
