Job Overview
Silverstone Care Centre is seeking an experienced, organized, and approachable HR Generalist to join our leadership team.
Guided by our Vision—Creating joy in life and aging by caring, connecting, and celebrating—Silverstone Care Centre is a long-term care community committed to compassionate, resident-centered care.
The successful candidate will work in close partnership with another HR Generalist, sharing responsibilities and providing coordinated HR support across the organization. Together, the HR Generalists will support employees and leaders throughout the full employment cycle, including recruitment, onboarding, payroll, benefits, labour relations, performance management, scheduling administration, and regulatory compliance.
This position requires someone who is comfortable working collaboratively in a fast-paced, unionized healthcare environment and handling sensitive matters with professionalism, accuracy, discretion, and compassion.
Key Responsibilities
Recruitment and Onboarding
- Prepare and manage internal and external job postings.
- Advertise vacancies through appropriate job boards and recruitment channels.
- Screen applications and coordinate interviews with hiring managers.
- Conduct reference checks, background checks, and other pre-employment requirements.
- Prepare offer letters, employment agreements, and onboarding documentation.
- Coordinate new-hire orientation and ensure required documents and training are completed.
- Set up employee profiles in HRIS, payroll, scheduling, and other applicable systems.
- Monitor probationary and trial periods and coordinate probationary check-ins and performance evaluations.
Human Resources Administration
- Maintain accurate and confidential electronic and paper personnel files.
- Maintain employee and agency-worker information in the HRIS and related databases.
- Respond to employee questions regarding policies, entitlements, payroll, benefits, scheduling, and workplace procedures.
- Process employee status changes, including leaves of absence, transfers, resignations, terminations, and changes in employment status.
- Maintain master work schedules and support the posting and awarding of vacancies in accordance with applicable collective agreements.
- Communicate with staffing agencies and coordinate replacement coverage when required.
- Draft and update HR policies, procedures, forms, and employee resources.
- Prepare reports and documentation for internal reviews, audits, and regulatory requirements.
- Protect employee privacy and maintain confidentiality at all times.
Payroll and Compensation
- Process bi-weekly payroll accurately and within established deadlines.
- Review hours, overtime, premiums, deductions, vacation pay, statutory holiday pay, and other payroll-related information.
- Administer statutory deductions, including CPP, EI, and income tax.
- Respond to employee and manager payroll inquiries.
- Reconcile payroll records and investigate discrepancies.
- Prepare and issue Records of Employment.
- Support year-end payroll processes, including T4s and payroll summaries.
- Complete compliance checks related to vacation accruals, statutory pay, union dues, and employee entitlements.
- Prepare union dues, remittance, pension, and compensation reports as required.
Benefits and Leave Administration
- Enrol eligible employees in benefit and pension plans and process coverage changes and terminations.
- Explain benefit options, eligibility requirements, and enrolment processes to employees.
- Administer and track sick leaves, parental leaves, medical leaves, long-term disability, and other approved leaves.
- Liaise with benefit providers, disability-management programs, and external partners.
- Monitor benefit eligibility, coverage changes, and required documentation.
- Respond to benefit and leave-related inquiries.
- Prepare benefit enrolment summaries, leave-tracking reports, eligibility reports, and pension or RRSP contribution summaries.
- Support accommodation processes in accordance with applicable legislation and organizational policies.
Labour and Employee Relations
- Interpret and apply collective agreements, workplace policies, and employment legislation.
- Provide guidance to managers regarding employee and labour-relations matters.
- Support workplace investigations, grievance handling, discipline, and corrective-action processes.
- Prepare documentation for grievance meetings, mediation, arbitration, and other labour-relations proceedings.
- Attend labour-management and union meetings as required.
- Maintain grievance-tracking logs, discipline records, and labour-relations action items.
- Support union consultations, negotiations, and job-action planning when applicable.
- Train and coach managers on collective agreement requirements, documentation, and labour-relations procedures.
- Promote a respectful, inclusive, and psychologically safe workplace.
Performance Management and Employee Development
- Coordinate annual performance reviews and employee-development processes.
- Monitor probationary and trial periods.
- Support managers with coaching, performance concerns, and goal setting.
- Prepare and track performance improvement plans.
- Ensure disciplinary and performance-related documentation is complete, accurate, and appropriately maintained.
- Assist with training, professional development, succession planning, and employee-retention initiatives.
- Collect and analyze HR information related to staffing, attendance, turnover, recruitment, and retention.
Compliance and Reporting
- Support compliance with the BC Employment Standards Act, BC Human Rights Code, Workers Compensation Act, privacy requirements, collective agreements, and organizational policies.
- Prepare employment equity and workforce reports when required.
- Maintain records related to occupational health and safety incidents, accommodations, employee wellness, and regulatory compliance.
- Support audits and internal reviews by ensuring employee records and reports are complete and current.
- Identify HR trends and provide information to support operational and workforce-planning decisions.
Qualifications
- Post-secondary education in Human Resources, Business Administration, Payroll, or a related field.
- Previous experience in an HR Generalist, payroll, benefits, or related human resources position.
- Experience working in a unionized environment is strongly preferred.
- Healthcare, seniors’ care, or long-term care experience is considered an asset.
- Working knowledge of British Columbia employment and human rights legislation.
- Experience interpreting collective agreements and supporting grievances, investigations, and employee-relations matters.
- Demonstrated experience processing payroll and administering benefits and leaves.
- Proficiency with HRIS, payroll, scheduling, and applicant-tracking systems.
- Strong computer skills, including Microsoft Office and Excel.
- Excellent written, verbal, interpersonal, and conflict-resolution skills.
- Strong organizational skills and the ability to manage competing deadlines accurately.
- Ability to exercise sound judgment and manage sensitive information confidentially.
- A professional, collaborative, and service-focused approach when supporting employees and leaders.
- CPHR designation or progress toward the designation is considered an asset.
- Payroll Compliance Professional certification or related payroll training is considered an asset.
- Successful completion of all required pre-employment checks.
