JOIN OUR TEAM

We’re hiring a Project Assistant to join our Operations team in Prince George, BC. Reporting to the Project Manager, the Project Assistant helps the Project Manager execute the day-to-day operational and administrative tasks that keep our projects on track, on budget, and on time.

Role and Responsibilities

  • Work closely with the Project Manager to support day-to-day project productivity.
  • Collect, sort, and organize project data to help the Project Manager make informed decisions.
  • Take notes in meetings and prepare meeting minutes.
  • Help identify, track, and communicate project issues and challenges to the relevant parties.
  • Prepare periodic client project reporting as required.
  • Prepare and maintain project files, forwarding them to the relevant parties, personnel, and decision-makers.
  • Compile and manage project documents such as bills of lading, vendor invoices, and timesheets.
  • Coordinate travel and lodging for project-related travel, including reviewing rotation schedules and liaising with travel agents.
  • Communicate flight and accommodation details with inbound and outbound employees, and book travel directly where a travel agent isn’t involved.
  • Support Project Managers with purchasing, and liaise regularly with Accounts Payable and Accounts Receivable.
  • Maintain data tracking systems for job costing, budgeting, purchase orders, safety and labour reporting, and contact lists.
  • Work closely with Human Resources to support efficient onboarding of new personnel.
  • Compile field timesheets and transfer the data into daily SDRs.
  • Assist with distributing company supplies to project sites, and maintain office supply inventory in a cost-effective manner.
  • Adhere to organizational policies and procedures, including Kode’s Code of Ethics and Confidentiality Agreements.
  • Participate in project lessons-learned meetings, and help record milestones, costs, and challenges for future decision-making.

Qualifications

  • High school diploma required.
  • 2–3 years of progressive experience in a construction project-based administrative role.
  • Strong communication skills; able to listen and present information clearly to a range of stakeholders.
  • Highly organized, accountable, and reliable; able to manage multiple priorities and follow through on commitments.
  • Discreet and approachable, with strong integrity and professionalism.
  • Comfortable working in a fast-paced construction/project environment.

Pay: $26.00-$29.00 per hour
