Summary

We are seeking a dedicated Administrative & Compliance Assistant/Receptionist to join our team in Orillia. This role is vital in supporting our daily operations and ensuring smooth communication internally, as well as with clients, vendors and associations. The ideal candidate will be organized, detail-oriented, proactive, and committed to excellence. This is a flex-position that can offer both part-and full-time hours, as business demands, with a possibility of a hybrid work-from-home option for some hours.

Responsibilities

  • Assist with front desk duties, including greeting visitors and managing multi-line phone systems.
  • Manage daily administrative tasks including data entry, filing, and correspondence.
  • Provide administrative support to the Management Team, and to Field Crew as required.
  • Assist the Project Manager with scheduling, client correspondence and follow up, utility locates, and permits.
  • Prepare, organize, and maintain documents, reports, and filing systems.
  • Assist with customer service inquiries both in person, online, and via phone.
  • Maintain and track company certifications, licences and compliance requirements.
  • Ensure documentation remains current and is accessible.
  • Assist with preparation for audits, inspections, and certifications.
  • Maintain Health & Safety Training logs and documentation.
  • Assist in coordinating Training.
  • Assist with Fleet & Equipment compliance.
  • Provide generalized Human Resources support.
  • Maintain office supplies and ensure the cleanliness of workspaces.
  • Use company vehicles to attend job sites when required, or run business-related errands.
  • Support special projects as needed to enhance office efficiency.

Qualifications

  • Proven experience in an administrative or clerical role.
  • Proficiency with Microsoft Office Suite.
  • Experience with Quickbooks preferred.
  • Ability to create presentation materials is a definite asset.
  • Ability to manage and create social media content preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills both written and verbal.
  • Ability to handle multiple tasks efficiently under pressure.
  • Customer service experience is highly-valued.
  • Experience with data entry and filing systems.
  • Prior experience in a construction or pavement maintenance environment is a plus but not required.
  • Valid Ontario Class G Driver's Licence, with a clean driving record.
