Wedding Planner and Coordinator

Overview

The Pendennis Weddings and Events team is driven by excellence. Our work can be stressful, is often chaotic, and it's a lot of fun! Job Title: Wedding and Events Coordinator

Position Type: Full-time

Hours: Up to 12 Hours shifts on event days, often working events on evenings and weekends. Otherwise, flexible schedule on non-event days. Admin required outside of event days.

We are looking for an experienced and passionate Wedding and Events Coordinator to join our team and help us create unforgettable experiences for our clients.

Job Overview: The Wedding and Events Coordinator will be responsible for managing and executing all aspects of events at The Pendennis Weddings and Events, with a focus on weddings. The ideal candidate will be organized, detail-oriented, and possess strong interpersonal skills to liaise with clients, vendors, and our in-house team to ensure that each event is seamlessly planned and executed. From Walk Through to the final farewell, the coordinator will be the key point of contact for clients and will play a pivotal role in bringing their vision to life.

Key Responsibilities:

You will be the bridge between our couples, vendors, and internal team.

Your responsibilities will include:

  • Managing client communication from inquiry to event day
  • Leading venue tours and client consultations
  • Creating timelines, floorplans, and event run-of-shows
  • Coordinating vendors (florals, catering, DJs, rentals, décor, etc.)
  • Managing wedding and event details with Planning Pod
  • Running rehearsals and wedding day logistics
  • Leading setup and tear-down solo or with our in-house team
  • Being the on-site decision maker during events
  • Problem-solving calmly when things change (because they always do)

You will work closely with the CEO, Lead Coordinator, Bar Manager, and Operations team to ensure every event is executed at the highest level.

Qualifications:

  • Proven experience as a Wedding and Events Coordinator, Event Planner, or in a similar role within a luxury company, high-end venue or hospitality environment. Evidence of strong customer service skills is a must.
  • Exceptional organizational and project management skills, with the ability to manage multiple events simultaneously (not on the same day).
  • Strong communication skills and a client-first attitude, with the ability to build and maintain relationships with clients, vendors, and colleagues.
  • In-depth knowledge of wedding traditions, event planning processes, and vendor services.
  • Excellent problem-solving abilities and a calm demeanor under pressure.
  • A passion for event design, customer service, and the ability to turn a vision into reality.
  • Proficiency in Planning Pod is a plus
  • Availability to work flexible hours, including evenings, weekends, and holidays, as required by event schedules.
  • Own a Apple laptop in good working condition
  • Have experience in excel, word, gmail, and Canva
  • Can provide documents proving their organizational skills
  • Have a well-organized inbox for their e-mails, as well as no notifications on their phone
