Mackenzie and Wilkins Plumbing and Heating Inc. (A division of Homestar Group) is expanding! We are seeking a sharp, highly organized Project Manager Assistant with a solid background in mechanical and plumbing estimating to join our team.

In this vital role, you will bridge the gap between the office and the field. You will split your focus between supporting project operations (scheduling, tracking progress, coordination) and preparing accurate, timely cost estimates for mechanical systems across our residential and commercial projects. Your estimating accuracy will ensure our projects remain profitable, well-planned, and seamless from day one.

Position: Full-Time, Permanent

Primary Location: Office-based role

Travel: Occasional travel for site meetings and field walk-throughs is required

Responsibilities

  • Lead project scheduling and coordinate directly with on-site foremen, other trades, and subcontractors to ensure seamless project handoffs and timeline alignment.
  • Collaborate closely with Project Managers during project execution; monitor on-site progress and help manage schedules, material deliveries, and scope changes.
  • Prepare and organize essential Pre & Post-award documentation, such as as-built drawings and warranty packages for clients.
  • Monitor incoming bid requests, prioritize opportunities, and actively manage the project award funnel.
  • Review blueprints, architectural drawings, specifications, and scope documents to complete thorough takeoffs for labor, materials, and equipment.
  • Prepare detailed, competitive, and profitable cost assessments for both commercial and residential mechanical projects.
  • Request, review, and negotiate supplier and subcontractor pricing to secure favorable terms and material costs.
  • Identify potential project risks, scope gaps, delivery conflicts, and necessary clarifications before boots hit the ground.
  • Maintain highly organized, accurate records of estimates, contracts, pricing templates, and historical data.

Requirements & Qualifications:

  • A minimum of 3 years of mechanical/plumbing estimating experience combined with background exposure to project management support and scheduling.
  • In-depth understanding of mechanical plumbing systems, construction methods, and building processes.
  • Strong analytical abilities, sharp attention to detail, and solid mathematical skills for precision calculations.
  • Proficient with estimating software and standard spreadsheet applications (Excel).
  • Excellent communication and leadership skills to effectively coordinate between office teams, field foremen, trades, and clients. Must possess a proactive approach to problem-solving.
  • Highly organized, deadline-driven, and possesses a valid driver’s license for occasional site visits.

Assets & Nice-to-Haves

  • A Mechanical Engineering Technologist Diploma.
  • Hands-on field experience in one of the mechanical or plumbing trades.
  • Strong familiarity with local plumbing codes and New Brunswick inspection requirements.
