Job Description Medical Office Assistant

You will join a dynamic team that provides administrative support to our team of skilled medical professionals. You will be responsible for scheduling patient appointments, fielding phone calls, checking in patients, booking follow up and engaging with patients in the reception area. Other duties include processing paperwork, filing, scanning, faxing, and updating electronic medical records. Experience in a medical office and/or a Medical Office Assistant certification preferred.

Elevate Medical Clinic provides care for those who struggle with mental health, substance use issues and homelessness. Many of the people who access care at our clinic face systemic barriers in the health care system and we work as a team to ensure we are reducing barriers people face to access culturally safe and trauma-informed care. In applying for this position, you would bring compassion and desire to work with those who are vulnerable and marginalized.

Responsibilities:

  • Answer telephone calls and direct calls as appropriate.
  • Perform reception duties (e.g., greet patients, speak with pharmacists and other allied health professionals), answer telephones, book appointments, prepare patient charts, patient follow-up and reminders.
  • Assist with patient reminders for non-appointment-based activities (e.g. navigating medical imaging appointments, lab work etc.) with selected patients.
  • Perform clerical duties such as filing, scanning documents, and faxing.
  • Update and maintain records in the electronic medical record as appropriate.
  • Restock medical supplies, maintain general organization and cleanliness in clinic.

Skills and Experience:

  • Experience in a medical office and/or a Medical Office Assistant certification preferred.
  • General understanding of cultural safety and working with vulnerable populations.
  • Comfortable with de-escalation and other strategies to help patients cope with distress.
  • Customer service orientated and sensitivity when dealing with patients.
  • Ensures safety of self and others; maintain a respectful workplace.
  • Competency working with Microsoft Office programs (Windows, Excel, Outlook) and electronic medical records.
  • General office administration experience. Prior medical office assistant experiences an asset, though not required.
  • Familiarity with medical terminology an asset.
  • Good organizational skills, able to prioritize tasks; manage time effectively.
  • Flexibility and able to exercise good judgement.
  • Attention to detail and high degree of accuracy when working with patients and electronic medical records.
  • Problem solving and conflict resolution skills.
  • Ability to maintain confidentiality.
  • Capacity to adapt quickly in a fasted paced, dynamic work environment.
  • Participatory work style: ability to work well with a team and independently.

Job Types: Part-time, Permanent

Pay: $22.00-$26.00 per hour

Expected hours: 16 – 20 per week
