POSITION: Accounts Payable Clerk - Retail Operations

START PAY: Salary — $41,600 - $49,920 based on experience

HOURS OF WORK: Full-Time, flexible

Popeyes Supplements is looking for an Accounts Payable/Office Support Clerk who is highly accurate, organized, and dependable.

ROLE DESCRIPTION

This role is suited to a self-motivated professional who excels at their attention to detail, delivering highly accurate work, and consistent follow through. Within a large organization, they will be accountable to a small team who collectively focuses their time and energy on fulfilling corporate goals while supporting each other. This role supports accounts payable across multiple retail locations, requires a solid understanding of retail purchasing cycles, inventory receiving processes, and the relationship between purchase order, inventory, and supplier invoices. As this is a progressive business environment, it is essential they can adapt and embrace change.

Reporting to the Office Administrator, the successful applicant will support accounts payable, clerical, and administrative activities. They will also have the benefit of being directed and guided by our Corporate Accountant, ensuring good accounting practices and standards are consistently practiced. The role may also include project or administration support for executive management. Popeyes Supplements offers a comprehensive benefits package after three months of employment, along with staff discounts.

Core responsibilities include high-volume accounts payable processing, accurate data entry, basic bookkeeping support, reporting, file management, and discrepancy resolution The successful candidate will independently receive, verify, and process supplier invoices on time and with a high level of accuracy, while maintaining reliable financial and administrative information across corporate systems. Experience with accounts payable and a strong Excel competency are important for success in this role.

QUALIFICATIONS, EXPERIENCE AND ABILITIES

· One to three years of high-volume accounts payable work experience in a multi-location retail environment

· Direct experience with retail purchasing cycles, inventory receiving processes, purchase order reviews, and supplier invoice matching is a strong asset

· Completion of a recognized accounting course, accounts payable training, and Sage Accounting Software experience are strong assets

· Solid understanding of basic bookkeeping, accounts payable principles, general math, number aptitude, and data base accuracy

· Strong working knowledge of Microsoft Office, including Excel, Word, and Outlook

· Ability to maintain accurate records, organize files, and complete data entry with mindfulness and consistency

· Excellent attention to detail, time management, analytical thinking, observation, and active listening skills

· Adaptable, flexible, and comfortable working through changing priorities

· Working knowledge of office equipment and computer hardware

· Professional phone etiquette and strong verbal, written, and interpersonal communication skills

· Ability to multitask, solve problems, prioritize work, and meet deadlines independently

· Collaborative team mindset, with a willingness to share responsibility and contribute to shared goals

RESPONSIBILITIES

· Provide accounting, clerical, and administrative support to Office Administrator

· Daily use of Sage Accounting Software, Excel, Word, and Outlook

· Enter key accounts payable data accurately and on time

· Process and reconcile supplier invoices for multiple retail locations, ensuring alignment with purchase orders, inventory receipts, and vendor account records

· Collaborate with stores to resolve inventory-related invoice discrepancies

· Prepare, maintain, and organize financial and administrative records with both high accuracy and attention to detail

· Maintain organized electronic and hard-copy filing systems for efficient retrieval

· Follow company procedures, accounting standards, and confidentiality expectations

· Manage sensitive financial information responsibly and ethically

· Assist with clerical, administrative, and project-related duties as assigned

· Work independently while remaining engaged with team priorities and shared goals

· Communicate professionally, clearly, and personably by phone, email, and in writing

· Manage time effectively and uphold focus on assigned tasks

· Bring a positive, professional attitude to daily interactions and problem-solving

This full-time position is based in a low-traffic workspace with only a small number of employees in the immediate work area.
