Kelowna Denture Clinic is seeking a reliable, organized, and patient-focused Dental Receptionist / Office Assistant to join our front desk team.

Reporting to the Owner and Office Manager, you will play a key role in ensuring the smooth day-to-day flow of patients through the clinic. This role is responsible for maintaining an efficient, professional, and welcoming front desk while supporting both clinical and lab teams.

This position is an integral part of a collaborative team working closely with denturists, lab technicians, dental offices, and patients in a fast-paced, high-volume environment.

ResponsibilitiesReception & Patient Flow

  • Coordinate the daily flow of patients through the clinic
  • Book, confirm, reschedule, and manage patient appointments
  • Answer incoming calls and respond to patient inquiries professionally
  • Greet and check in patients, ensuring a positive first impression
  • Manage appointment schedules for denturists and lab coordination

Patient Administration

  • Ensure accurate and complete patient information and documentation
  • Maintain patient database and scheduling system
  • Support treatment coordination and follow-up scheduling
  • Communicate clearly with patients regarding appointments and next steps

Insurance & Payments

  • Process payments and maintain accurate financial records
  • Submit insurance claims and assist with pre-authorizations
  • Track and follow up on outstanding claims as needed
  • Document all transactions within the patient management system

Clinic & Team Support

  • Maintain cleanliness and organization of the reception area
  • Assist with clinic flow and support operatories between patients when needed
  • Communicate effectively with clinical and lab teams to ensure smooth case progression
  • Escalate scheduling or operational concerns in a timely manner

Financial & Operational Support

  • Post invoices and assist with basic administrative reporting
  • Support bookkeeping tasks and general administrative functions as needed
  • Contribute to improving systems and maintaining efficient workflows

Qualifications

  • 1–3 years experience in a busy office or customer-facing environment (dental preferred but not required)
  • Strong customer service and interpersonal skills
  • Excellent organizational skills and attention to detail
  • Ability to multitask and work efficiently in a fast-paced environment
  • Strong communication skills (phone and in-person)
  • Comfortable using computers and learning new systems
  • Ability to handle sensitive situations with professionalism and confidentiality

Position Details

  • Full-time
  • Monday to Friday
  • 8:00 AM – 4:30 PM (30-minute lunch)
  • No evenings or weekends
  • $20–$25/hour based on experience
