Full job description
Gillespie Handyman Services is growing, and we’re looking for a personable, highly organized and detail-driven Inside Sales & Estimate Coordinator to manage incoming customer inquiries and guide potential clients through our estimating and sales process.
If you communicate exceptionally well, enjoy helping people make decisions about their homes, have practical residential construction knowledge, and are naturally driven to follow up and keep opportunities moving forward, this role may be the perfect fit. Your construction knowledge helps you quickly understand what customers want to accomplish, assess the work required, determine how it would be completed, and develop accurate estimates.
This is not a cold-calling sales position. Our customers come to us looking for help. Your role is to understand what they need, gather the right information, help us prepare a clear estimate, and provide a professional and responsive experience from their first contact through to booking their project.
About the Role
As our Inside Sales & Estimate Coordinator, you’ll be the first point of contact for many of our customers and an important part of the Gillespie Handyman Services customer experience.
This is a full-time, primarily work-from-home position, Monday to Friday, 8:00 a.m. to 4:00 p.m. You must have a dedicated, quiet home office space suitable for professional customer communications. Gillespie Handyman Services will provide a company computer and cellphone for business use.
You’ll manage incoming leads from our website, email and phone, communicate with homeowners about their projects, gather the information our team needs to prepare estimates, coordinate pricing internally, prepare and send estimates, and consistently follow up with customers to guide them toward a decision and keep opportunities moving forward.
Once a customer decides to move forward, you’ll collect their deposit and prepare a clean, complete handoff to our Project Coordinators.
Your goal is simple: make it easy for customers to do business with Gillespie, professionally help them make informed decisions about their projects, and keep our sales and estimating process organized, responsive and moving forward.
What You’ll Do
· Respond quickly and professionally to new customer inquiries by phone and email.
· Speak with homeowners to understand their repair, maintenance and renovation needs.
· Ask thoughtful questions and request photos, measurements and other information needed to properly understand the project.
· Determine whether projects can be estimated from photos and information provided or require a site visit.
· Turn customer information into clear, concise scopes of work for an accurate estimate.
· Manage incoming leads and estimates through our Trello workflow.
· Determine when a site visit is needed for additional clarification/detail, schedule accordingly.
· Work with the owner when additional technical input or pricing support is needed.
· Prepare professional estimates in QuickBooks and send them to customers.
· Review estimates carefully for accuracy, clarity and completeness before they are sent.
· Follow up consistently with customers after estimates are delivered.
· Answer questions, discuss options and help customers make a decision about moving their project forward.
· Collect and process deposits for approved projects.
· Maintain accurate lead, estimate and sales tracking.
· Prepare organized project information and hand completed sales over to our Project Coordinators for scheduling.
Critical Skills & Attributes
Strong Customer & Sales Skills
· Warm, professional and confident communicating by phone and email.
· Comfortable building rapport and guiding customers through decisions.
· Understands that good sales is often about listening, asking the right questions and making the process easy for the customer.
· Naturally follows up and keeps opportunities moving without being pushy.
· Understands the importance of responding quickly to new inquiries.
Construction Knowledge
· Practical knowledge of residential repairs, maintenance and renovations is essential.
· Able to visualize how a job will be completed, including the materials required and project scope.
· Comfortable looking at customer photos and asking the questions needed to clarify what work is required.
· Previous experience with a contractor, renovation company, home-services company or construction-related business would be an asset.
Exceptional Organization
· Able to manage a large number of customers and estimates at different stages without letting things fall through the cracks.
· Detail-oriented and comfortable working within established systems and processes.
· Strong follow-through — if you tell a customer you'll get back to them, you do.
· Able to prioritize opportunities and manage a busy inbox and sales pipeline.
Strong Communicator
· Excellent written communication and grammar.
· Able to turn informal customer descriptions into clear, professional scopes of work.
· Comfortable asking additional questions when information is incomplete rather than making assumptions.
· Professional, friendly and reassuring when communicating with customers.
Tech-Savvy & Efficient
· Comfortable using email, Google Workspace, Microsoft Suite, and online workflow systems.
· Experience with Trello and QuickBooks is an asset.
· Comfortable learning new technology and using systems to stay organized and efficient.
What Success Looks Like
Success in this position means our customers receive a fast, professional response and feel well taken care of and well guided from their very first interaction with us.
New inquiries don't sit unanswered. The right questions are asked upfront. Project information is complete before it reaches pricing. Estimates are clear and professional. Customers are followed up with consistently. Opportunities don't fall through the cracks.
And when a customer says “Let's go ahead,” our Project Coordinators receive a complete, organized project that is ready to move into scheduling.
Why Join Us?
· Work with an established Ottawa handyman, repair and renovation company known for professionalism and quality.
· Fully remote work setup, while staying closely connected to a local team.
· Work with customers who have already contacted us looking for help — no cold calling or prospecting.
· Established systems, templates and processes are already in place.
· Comprehensive training and documentation for the position.
· Be part of a supportive, solutions-focused, team-first culture.
· Opportunity to become an important part of the continued growth of the company.
Interested?
Please send us your résumé along with a short introduction telling us why this position interests you and what experience you have that would make you successful in the role.
We'd especially like to hear about experience in inside sales, customer service, construction, renovations, home services, estimating or coordinating multiple customers and opportunities at the same time.
Pay: $95,000.00-$120,000.00 per year
