Sample Intake Technician

Summary

Duracan is seeking a Sample Intake Technician to support our Winnipeg location. This role is responsible for receiving, verifying, and logging client samples, as well as providing administrative, invoicing, and customer service support.

The Sample Intake Technician plays a key role in maintaining accurate sample intake, documentation, and coordination with laboratory operations to ensure sample integrity, traceability, and efficient workflow. This position requires strong attention to detail, organizational skills, professionalism, and the ability to manage multiple priorities in a fast-paced laboratory environment.

Responsibilities

Sample Intake & Documentation

  • Receive client samples and verify labeling, condition, and documentation.
  • Review submission forms for completeness and accuracy.
  • Log samples into the laboratory information system with a high degree of accuracy.
  • Ensure proper identification, handling, storage, and organization of samples.
  • Maintain accurate records to support sample traceability.
  • Verify sample acceptance criteria and identify potential issues requiring follow-up.
  • Communicate discrepancies, missing information, or damaged samples to appropriate personnel.
  • Maintain sample tracking throughout the intake process.

Client Service & Communication

  • Provide front-desk support for clients submitting samples.
  • Greet and assist clients, visitors, and contractors in a professional manner.
  • Answer and direct phone calls, emails, and other inquiries.
  • Assist clients with submission forms and general inquiries (non-technical).
  • Maintain a professional, courteous, and customer-focused approach at all times.
  • Communicate effectively with laboratory, administrative, and management staff.
  • Maintain timely communication regarding sample intake status, issues, and priorities.

Logistics & Coordination

  • Assist in coordinating and managing the movement of samples within laboratory operations.
  • Prepare samples for internal transfer and ensure proper handling and tracking.
  • Coordinate incoming and outgoing courier shipments, mail, packages, and deliveries.
  • Maintain organized tracking of incoming and outgoing samples.
  • Support communication between departments to ensure efficient sample processing.
  • Assist with coordination of outsourced samples and associated documentation when required.

Administrative Support

  • Perform data entry and maintain accurate records.
  • Prepare and process documentation, submission forms, invoices, and related records.
  • Assist with invoicing activities and coordination of supporting documentation.
  • Maintain organized filing systems, databases, and electronic records.
  • Support general administrative and operational tasks as required.
  • Maintain an organized, professional, and secure workspace.

Inventory & Supplies Management

  • Assist with monitoring office, laboratory, and sample intake supplies.
  • Receive, organize, and distribute deliveries and shipments.
  • Assist in sourcing office and laboratory supplies from vendors as required.
  • Maintain inventory records and communicate supply needs to management.

Quality & Compliance

  • Follow company procedures for sample handling, documentation, and intake.
  • Identify and report discrepancies, damaged samples, incomplete documentation, or non-conformances.
  • Support quality system requirements related to sample receipt, documentation, and traceability.
  • Maintain confidentiality of client, company, and laboratory information.
  • Ensure compliance with company policies, procedures, and applicable regulatory requirements.
  • Adhere to laboratory safety protocols and use appropriate personal protective equipment (PPE) as required.
  • Participate in maintaining a safe work environment by reporting hazards, incidents, or safety concerns.

Document & Data Management

  • Prepare and process documents related to sample intake, invoicing, reporting, and administrative activities.
  • Perform accurate data entry and maintain databases and software systems.
  • Maintain meticulous record-keeping practices to support quality and traceability requirements.
  • Support integration of data into relevant software systems and databases.
  • Verify information accuracy and completeness before processing records.

Invoicing & Administrative Support

  • Assist in managing invoicing processes and ensuring timely and accurate entries.
  • Coordinate with laboratory and administrative departments to obtain information required for invoicing.
  • Assist with payment processing and administrative follow-up when required.
  • Support departmental efficiency through accurate documentation and record management.

Additional Responsibilities

  • Support additional administrative or operational tasks as required.
  • Work collaboratively with team members to support daily operations and departmental coverage.
  • Assist with training and onboarding activities as required.
  • Support continuous improvement initiatives and process enhancements.
  • Maintain timely communication with management regarding daily activities, issues, and sample intake status.
  • Duties and responsibilities may be adjusted based on operational requirements.

Qualifications

Education & Experience (Assets)

  • Diploma or degree in a relevant field (science, environmental, business, or administration) or equivalent experience is considered an asset.
  • Previous administrative, customer service, or laboratory support experience is considered an asset.
  • Experience in a laboratory, environmental, or sample intake setting is considered an asset.
  • Familiarity with laboratory safety protocols and handling procedures is preferred.

Additional Skills (Assets)

  • Strong data entry skills with a high level of accuracy.
  • Typing speed of 45 WPM or greater is considered an asset.
  • Ability to manage multiple tasks and deadlines effectively.
  • Proficiency with computer systems and common office software.
  • Experience with Mac-based systems is considered an asset.
  • Experience with laboratory information management systems (LIMS) is considered an asset.
  • Ability to handle sensitive information with professionalism and discretion.

Work Environment

  • Office-based position with regular handling of environmental samples.
  • Work may involve handling samples that could contain potentially hazardous materials.
  • Frequent standing, walking, lifting, carrying, and moving sample coolers and supplies may be required.
  • Adherence to laboratory safety protocols and use of appropriate PPE is required at all times.
