Bilingual Customer Service and Order Processing Associate

Join Our Team at Chef Works Canada – Where Passion Meets Purpose!

About Chef Works Canada!

Chef Works Canada supplies professional apparel to the hospitality industry. Our customer service team supports customers and sales representatives by processing orders accurately and providing reliable service in French and English.

Position Summary

The Bilingual Customer Service and Order Processing Associate is responsible for accurate, timely order processing and responsive customer support. Approximately 80% of the workday is spent in Sage 300 and on order entry activities, including reviewing order information, entering and updating orders, and maintaining accurate records.

Reporting to the Customer Service Manager, the associate also answers customer inquiries, follows up on outstanding information and coordinates with internal teams to help orders progress. Success requires strong attention to detail, consistent follow-through and the ability to maintain accuracy while managing a busy workload.

Essential Functions

  • Enter and update customer orders in Sage 300, verifying account details, item numbers, sizes, colours, quantities, approved pricing, shipping instructions and customization requirements.
  • Review orders for completeness and obtain missing information or required approvals before progressing them through the established workflow.
  • Process order changes and cancellations within company procedures and approval requirements, keeping order notes accurate and complete.
  • Monitor assigned pending, held and open orders; follow up with customers or sales representatives and escalate unresolved issues to the Customer Service Manager.
  • Provide customer and sales support by phone and email in French and English, including product inquiries, availability, alternatives and order status.
  • Communicate backorders and expected timelines using current inventory and production information; escalate requests that fall outside standard commitments.
  • Coordinate with Warehouse, Embroidery, Purchasing and Sales to resolve order issues and support timely fulfillment.
  • Maintain customer communications and case records in Salesforce and complete required embroidery information in EmbTrak, following established procedures.
  • Apply approved pricing, payment, order release and cancellation policies; obtain authorization for exceptions.
  • Identify relevant products, alternatives and promotions during customer interactions to support sales opportunities.
  • Maintain working knowledge of products and customer programs, meet established accuracy and productivity standards, and uphold Chef Works' core values.

Minimum Qualifications

  • High school diploma or equivalent; some college coursework preferred.
  • Two to three years of customer service experience, including substantial responsibility for order entry or order processing. Experience in wholesale, distribution or a similar environment is preferred.
  • Excellent verbal and written communication skills in French and English.
  • Demonstrated ability to process a high volume of detailed transactions accurately using an enterprise resource planning (ERP) or order management system.
  • Sage 300 experience is preferred. Experience with Salesforce, EmbTrak or comparable systems is an asset.
  • Strong computer proficiency, including Microsoft Outlook, Excel and the ability to work across multiple systems.
  • Strong organizational skills and attention to detail, with the ability to manage competing priorities and maintain accuracy during interruptions.
  • Ability to follow documented procedures, recognize discrepancies, resolve routine issues and escalate matters requiring approval or specialist support.
  • Comfort with sustained computer work and repetitive order processing, combined with a professional, helpful approach to customers and colleagues.

Performance Expectations

Performance is assessed against established standards for order accuracy, processing productivity, customer response times, follow-up on assigned orders, completeness of records and adherence to company procedures. The associate is expected to flag errors and delays promptly and take ownership of assigned follow-up.

Physical Requirements

  • Prolonged desk work, including extended use of a computer and telephone.
  • Occasional lifting of 10 lbs. or less, typically at waist level and less than 5% of the time.
