Overview:
The Administrative Assistant will be responsible for providing general administrative and clerical assistance to support the project team at site. The position is a local site-based role and is a 6-8 month term position.
- Start Date: July 2026
- End Date: ~Feb 2027
Shift Schedule: Monday to Friday (48-hour week)
Applicants must hold a valid driver’s license and have reliable transportation.
Responsibilities:
- Administration of employee mobilization/demobilization paperwork
- HSE data entry, tracking and updating of tracking registers and databases
- Coordination of crew orientations, transportation of new employees onsite and/or escorting visitors
- Timesheet data entry preparation, review and cost coding for payroll entry.
- Preparation and maintenance of documents, reports and spreadsheets, including filing, scanning and copying
- Ordering supplies and maintaining inventory
- Some driving (both on and off site) required using Company vehicle
- Other general administrative and clerical support as required by the project team
- 1+ years of experience in an administrative role with similar responsibilities is beneficial.
- Clean Driver’s Licence
- HSE administrative background an asset
- Related post-secondary education preferred
- Proficiency with computers, including Microsoft Office (intermediate knowledge of Word, Excel)
- Strong typing skills
- Reliable, proven self-starter with strong time management skills and ability to effectively prioritize work to meet tight deadlines
- Adaptability and agility to learn
- Good knowledge of business procedures, letter, and report formats
- Strong organizational, multitasking, and interpersonal skills
- Good problem-solving skills and a high degree of accuracy and attention to detail
- Ability to work well with all levels of management and staff
- Effective written and oral communication skills
