Customer Service Coordinator / Estimator – Commercial HVAC & Plumbing Services

About Us

Element Building Systems Inc. is a growing commercial mechanical contractor specializing in HVAC, plumbing, and mechanical services for condominium corporations, commercial buildings, and property management companies across the Greater Toronto Area.

We are seeking an organized, customer-focused, and experienced Service Coordinator / Estimator to join our team.

Key Responsibilities

-Prepare accurate service estimates and quotations.

-Coordinate and dispatch HVAC and mechanical service technicians.

-Schedule emergency, preventive maintenance, and corrective service calls.

-Create, manage, and close service work orders.

-Communicate professionally with customers, property managers, vendors, and subcontractors.

-Source materials, obtain vendor quotations, and issue purchase orders.

-Coordinate technician schedules, equipment, and material deliveries.

-Follow up on outstanding quotations and customer inquiries.

-Maintain accurate service records and documentation.

-Support invoicing, job closeout, and administrative activities.

-Work closely with the operations team to ensure timely project and service delivery.

Requirements

  • Minimum 3 years of experience in commercial HVAC & Mechanical Services.
  • Proven experience in service estimating, dispatching, customer service, and vendor coordination.
  • Strong understanding of commercial HVAC and mechanical systems, including preventive maintenance and service operations.
  • Experience preparing accurate quotations, estimates, and work orders.
  • Ability to prioritize and dispatch technicians for emergency and scheduled service calls.
  • Hands-on experience with Housecall Pro for scheduling, dispatching, estimating, invoicing, and work order management is highly preferred.
  • Experience communicating professionally with property managers, customers, vendors, and subcontractors.
  • Ability to source materials, obtain vendor quotations, and issue purchase orders.
  • Strong organizational, time management, and multitasking skills in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook).
  • Experience with service management software is considered an asset.
  • Ability to read mechanical drawings, specifications, and service reports is an asset.
  • Strong problem-solving skills with attention to detail.
  • Ability to work independently and collaboratively in a team environment.
  • Legally authorized to work in Canada.
