What This Role Is All About

We’re looking for a proactive, organized, and community-minded Resident Services Coordinator to help shape the resident experience at one of our managed properties. In this role, you’ll support resident communications, coordinate move-ins and service requests, and plan engaging events that help foster a strong sense of community. You’ll play a key role in ensuring residents feel welcomed, informed, and cared for, every step of the way.


As a service-driven organization operating seven days a week, this site-based role requires flexibility in scheduling to support the needs of the building. As such, the schedule includes weekend work, either on a rotating basis or as a consistent requirement. Candidates must be available and comfortable working weekends.


What You’ll Be Doing

Resident Experience and Communication

  • Serve as a primary point of contact for resident inquiries, requests, and communications.
  • Provide clear, timely, and professional communication to residents throughout their tenancy experience.
  • Assist with the creation and distribution of resident communications, including newsletters, notices, digital updates, and other building announcements.
  • Monitor resident feedback and support the resolution of concerns or complaints in a timely, respectful, and solution-oriented manner.
  • Maintain accurate records of resident interactions, service outcomes, documentation, and related follow-up within applicable systems.
  • Support leasing operations by assisting with prospect inquiries, community tours, application submissions, and leasing administration to help achieve budgeted occupancy goals.
  • Conduct daily prospect follow-up activities, including responding to leads, nurturing prospective residents, and maintaining ongoing communication throughout the leasing process.
  • Monitor and manage leasing queues to ensure all prospect inquiries, applications, and follow-up tasks are addressed within established service standards.
  • Ensure all prospect interactions, tour outcomes, traffic, leasing activity, and resident communications are accurately entered and updated in the property management and CRM systems on the same business day to maintain data integrity and reporting accuracy.
  • Collaborate with Leasing Associates and on-site teams to identify leasing opportunities, improve conversion rates, and deliver a seamless prospect-to-resident experience consistent with Chard's Uncommon Care service standards.


Move-In & Move-Out Coordination

  • Coordinate all aspects of the move-in and move-out process, including scheduling, resident communication, key handovers, elevator bookings, and unit readiness checks.
  • Act as the main point of contact for incoming residents, ensuring they receive clear guidance and support throughout the possession process.
  • Coordinate resident onboarding and move-in processes to ensure a smooth, professional, and welcoming experience.
  • Conduct move-in orientations and walkthroughs with new residents as needed.
  • Ensure resident files, leasing documents, and move-in documentation are accurate and complete prior to possession.
  • Track and update move-in/move-out schedules, documentation, service requests, and outstanding items.
  • Identify and help resolve last-minute issues to support a seamless handover and positive first impression.


Service Requests & Operational Support

  • Track and follow up on service requests using internal systems, including CMMS or property management platforms.
  • Liaise with property managers, building staff, maintenance teams, leasing teams, and contractors to ensure units are cleaned, inspected, and ready for occupancy.
  • Communicate closely with property management and leasing teams to ensure alignment on timelines, resident needs, unit status, and service delivery.
  • Support broader property operations, resident services, and administrative functions as needed, particularly during peak periods.


Resident Engagement & Community Building

  • Plan, coordinate, and host resident engagement events and initiatives that build community, connection, and belonging.
  • Support initiatives that enhance the resident experience and help residents feel welcomed, informed, and cared for.
  • Maintain records related to event attendance, resident participation, and engagement outcomes.

What You'll Bring

  • 2–3 years of experience in customer service, hospitality, property administration, leasing, event coordination, resident services, or a related coordination role.
  • Experience in residential property management, real estate, or leasing is considered a strong asset.
  • Strong planning, organizational, and coordination skills, with a keen attention to detail.
  • Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with residents, team members, and vendors.
  • Proficiency in Microsoft Office and comfort learning new digital systems, scheduling tools, communication platforms, and reporting processes.
  • Experience using Yardi, Grata, CMMS, or other similar property management or resident service platforms is an asset.
  • Ability to work evenings as needed for resident events and support weekends or high-volume operational periods throughout the year.
  • Availability to support peak move-in and move-out periods, particularly at the beginning and end of each month.

The salary range for this role is $55,000 to $60,000 annually. Compensation will be determined based on experience, qualifications, and the overall requirements of the role.
