Full job description

Role Summary

The Office Manager is responsible for coordinating day-to-day office administration and supporting the efficient operation of the business through administrative, operational, and organizational support. The role serves as a central point of coordination for office processes, documentation, communication, and administrative systems while supporting management with reporting, scheduling, onboarding, and business operations. The Office Manager does not have direct responsibility for Accounting, Human Resources, Construction Operations, or Information Technology functions but may provide administrative support to those areas as required.

Duties

Office Administration

  • Coordinating weekly management meetings, including scheduling meetings, preparing agendas, recording minutes, tracking action items, and maintaining meeting records.
  • Coordination of office supplies, printer, general purchases, and day-to-day administrative support for the team
  • Preparing routine administrative correspondence and business communications for review and approval by management.
  • Coordinating office logistics for meetings, events, and special company activities
  • Providing project support including invoice preparation, purchase orders and documentation support to assist the accounting, dispatching and project team
  • Coordinate onboarding logistics with HR team for new employees including equipment setup, system access requests, workspace preparation, and orientation scheduling
  • Maintain documented processes with respect to all administrative functions

Marketing and Business Development Support

  • Assisting with approval and coordination of social media campaigns and advertising
  • Ordering materials for jobsites, including shirts, signage, PPE, and related items
  • Organizing marketing collateral for sponsorships and events

Education & Experience

  • Diploma or Certificate in Business Administration, Office Administration, Human Resources, or a related field preferred
  • Minimum 5 years of progressive administrative, office management, or coordination experience
  • Experience supporting multiple departments and senior leaders in a fast-paced environment
  • Experience with Microsoft Office Suite and cloud-based administrative systems
  • Experience supporting onboarding, documentation management, and office operations considered an asset
  • Experience in construction, engineering, or project-based environments considered an asset

Skills

  • Strong organizational skills with the ability to manage multiple tasks and maintain accurate records.
  • Ability to maintain confidentiality and exercise discretion when handling sensitive company information
  • Ability to coordinate activities across multiple departments while maintaining clear priorities and accountability
  • Strong attention to detail and accuracy in processing administrative information.
  • Effective written and verbal communication skills with the ability to communicate professionally with internal stakeholders and external contacts.
  • Proficiency with Microsoft Office applications, including Excel and Outlook.
  • Ability to follow established procedures, processes, and documentation requirements.
  • Ability to work independently and support day-to-day operational requirements in a fast-paced environment.

Location & Work Arrangement

Full-time office based in downtown Vancouver.

Pay: $72,800.00-$76,960.00 per year
