Strata Administrative Assistant
South Island Property Management Ltd. is a medium sized full service property management company seeking to fill a Full Time position for the strata office in Colwood.
The Administrative Assistant will act as the primary assistant to a Strata Manager relating to daily administrative tasks in their portfolio. Will also fill in for other assistants when required.
The main functions of the position include:
- Responding to emails and phone calls in a timely manner.
- Completing form requests (Form F and B)
- Send out maintenance notices to buildings.
- Letter writing regarding welcome, complaints, arrears.
- Making sure all documentation to the online portal is current.
- Schedule contractors at request of manager.
- Setting up new owners and providing documentation.
- Keep track of Manager's calendar.
- General office skills including answering phones, processing mail, creating spreadsheets, greeting guests, contacting owners about outstanding balances, etc.
REQUIREMENTS:
- Proficient in MS Word/Excel/Outlook
- Strong organizational and multi-tasking skills
- Demonstrate excellent written and verbal communication
- Ability to be flexible and prioritize
- Project a positive image of South Island Property Management Ltd.
- Perform day to day requests and special projects as directed
- Perform other duties as assigned
Required experience:
- Administrative: 2+ years is prefered
- Property Management or Customer Service experience
