Overview
We are seeking a dedicated and detail-oriented Program Administrator to join our team to cover a 12-month maternity leave. The ideal candidate will play a crucial role in overseeing program operations, ensuring that all administrative tasks are executed efficiently. This position requires strong organizational skills and the ability to manage multiple priorities while fostering a collaborative environment. The Program Administrator will work closely with various stakeholders to support program initiatives and contribute to the overall success of our organization.

Responsibilities

  • Complete quarterly services Ontario Health reports and assist with Annual Operating Plan
  • Collaborate with internal teams and external partners to support program objectives and initiatives
  • Work with the physicians’ offices to administer the annual Patient Experience Survey
  • Work with the Quality Improvement Decision Support Specialist (QIDSS) in order to review programs and services
  • Ensure the Family Health Team (FHT) is working towards the targets set in the Quality Improvement Plan (QIP)
  • Maintain WCFHT social media platforms and website
  • Maintain in-house advertising and promotions of programs and services (exam room screens, display boards, advertisement screens in waiting room)
  • Manage day-to-day issues that may arise (some IT experience or knowledge of electronic medical records systems is an asset)
  • Encourage and foster teamwork through staff wellness events/social activities
  • Maintain comprehensive training program and participate in the training of newly hired staff
  • Distribute WCFHT weekly in-house newsletter
  • Co-Chair regular Team meetings (i.e. at least monthly, but more frequently if necessary)
  • Attend meetings with the physicians as requested
  • Help organize any other required WCFHT events
  • Consult with other community agencies (e.g. Home & Community Care, Public Health) to understand what services they offer and ensure WCFHT’s programs and services are appropriately aligned
  • Respond to patient requests and complaints as needed
  • Prepare any statistics required by Ontario Health or internally
  • Publicize services to patients as appropriate

Skills

  • Proven experience in supervising teams and managing programs effectively.
  • Strong background in program management with a focus on achieving strategic goals.
  • Excellent administrative skills, including proficiency in office software and project management tools.
  • Exceptional organizational skills with the ability to prioritize tasks in a fast-paced environment.
  • Strong communication skills, both verbal and written, to interact effectively with diverse stakeholders.
  • Ability to work independently as well as collaboratively within a team setting.
  • Knowledge of PS Suites Electronic Medical Records System (EMR) is an asset
