Position Description
EMSA North is one of 5 EMSA member zones existing to represent and guide our community league members in providing a high quality community and club soccer program. Our mission is to ensure that every youth in our zone has the opportunity to participate in a quality soccer program supported by well trained volunteers. Regardless of financial status, gender, skill, ability, level, or race, EMSA North is dedicated to fostering inclusive programming, supporting ongoing training and development, and encouraging good character, sportsmanship, and fair play through our volunteer-driven organization.
We are looking for an Operations and Programs Manager to join our team in our Northside office. This position requires a highly organized, proactive, fast thinking, self disciplined individual with a skill set that is flexible to a continuously changing environment. This is a role that involves regular interaction with our member communities and is critical to ensuring the smooth operation of our programs, managing day-to-day tasks, and supporting the development of the organization's mission. The ideal candidate will be considerate while having strong leadership skills, attention to detail, and a passion for promoting soccer and community involvement. Previous experience in an Alberta not-for-profit organization, particularly those involving community leagues, will be considered an asset.
Position Responsibilities:
Board Governance:
- Prepare and distribute meeting agendas and packages for Board meetings and AGM, including taking minutes of meetings, tracking attendance and motions.
- Regularly report to the Board and the Directors.
Facility & Office Management:
- Oversee the day-to-day office operations, including coordinating office maintenance, managing office supplies, vendor relations and communications, including league and season planning calendar.
- Office staff recruitment, provide training, and conduct performance reviews.
- Handle, document and address all escalations and discipline that come into the office.
- Maintain the organization's shared drive and cloud services to allow for easy access to all files by members.
Program Scheduling & Coordination:
- Coordinate schedules for indoor and outdoor soccer fields, ensuring efficient use of space and time for practices, games, and events.
- Work closely with referee assignor, field liner and Board to deliver accurate and timely schedules, including handling game cancellations and rescheduling.
- Support the coordination of EMSA North’s Mini Program and other seasonal programming, including game sheet management, scores and standings to properly tier teams.
Coach Training & Compliance:
- Schedule and organize coach training sessions and ensure all coaches are certified in line with required standards.
- Track and monitor compliance for coach certifications and renewals, and remind coaches of upcoming training deadlines.
Marketing & Communications:
- Oversee social media accounts, website updates, and promotional materials for all programs and events.
- Communicate regularly with members, including creating and distributing emails, newsletters, and event reminders.
Tournaments & Events:
- Lead the planning and execution of soccer tournaments and events, including website updates, securing venues, managing event logistics, and overseeing volunteer coordination.
- Pool teams and create game schedules.
- Ensure clear and timely communication with all teams, vendors, and volunteers involved in events.
Administrative & Financial Support:
- Assist with tracking program-related expenses and ensuring financial records are organized.
- Help prepare budgets for various programs, ensuring that resources are managed effectively.
- Support the finance team in basic financial reporting and ensure smooth processing of payments and invoices.
Qualifications:
The successful candidate must have the following qualifications:
- Sports Administration Degree or Diploma required or demonstration of equivalent and applicable work experience.
- Experience in nonprofit or sports program management is preferred.
- Demonstrate a high level of proficiency with Microsoft Office, particularly Excel, for organizing and managing data, scheduling, and financial tracking.
- Financial understanding for tracking expenses, budgeting, and supporting financial processes. Sage 50 experience an asset.
- Understanding of AGLC charitable gaming practices, license requirements and financial reporting an asset.
- Excellent organizational, communication and interpersonal skills, with the ability to collaborate effectively with staff, Board members, volunteers, and external partners.
- Ability to handle scheduling, program compliance, and event logistics efficiently.
- Passion for soccer and supporting youth development.

- Must be legally able to work in Canada
- Ability to obtain a Security Clearance with Vulnerable Sector check
- Valid Alberta’s driver’s license and reliable vehicle.
Work Schedule:
- Monday to Friday - 8:30am to 4:30pm In office (Flexible)
- Some evening and weekends required for Board meetings/Tournament

Pay: $30.00-$32.00 per hour
