About the Role

We are seeking a highly organized and proactive Office Manager to join our team at Haven Greens. In this pivotal role, you will serve as the backbone of our office operations, ensuring a productive and efficient work environment. Your responsibilities will encompass a wide range of administrative tasks, from managing office logistics to supporting our staff in their daily activities. By maintaining an organized and well-supplied office, you will enable our team to focus on cultivating high-quality leafy greens and driving the company's success.

Beyond traditional office management, you will play a critical role in supporting our procurement and fulfillment functions. This includes assisting with supplier and customer purchasing processes, handling invoices, and ensuring timely order fulfillment. You will collaborate closely with various departments—such as Sales, Operations, Finance, and Human Resources—to streamline processes and enhance productivity. Additionally, you will assist in planning and executing events that promote our brand and contribute to special projects that foster growth and innovation within our greenhouse operations.

Key Responsibilities

  • Office Management: Oversee the setup and maintenance of an organized and efficient office environment, ensuring staff areas are well-stocked, managing office supplies, and coordinating with vendors to promote productivity.
  • Supply Chain Support: Assist Sales, Operations & Logistics teams by managing supplier and customer purchasing processes, including issuing purchase orders, handling invoices, and ensuring timely order fulfillment.
  • Finance & Accounting Support: Collaborate with the Director of Finance and accounting partners to perform basic bookkeeping tasks such as managing accounts payable and receivable, reconciling bank statements, and maintaining accurate financial records.
  • General Operations: Support daily business activities by ensuring seamless processes, assisting with the implementation of new systems to enhance collaboration and productivity, and proactively addressing operational issues to minimize disruptions.
  • People and Culture: Support HR initiatives by aiding in new hire onboarding, facilitating staff programs and team-building activities, and coordinating team events to foster a positive workplace culture.
  • Event Coordination: Assist in planning and executing on-site events to drive sales and brand awareness, including coordinating logistics for sales meetings, media events, and other promotional activities.
  • Special Projects: Contribute to cross-functional projects that support the growth and efficiency of greenhouse operations, collaborating with various teams to achieve project objectives.

Candidate Profile

Must-Haves:

  • Post-secondary education
  • Minimum of 2 years' experience in office administration or a similar role.
  • Proficiency in MS Office Suite (Word, Excel, Teams).
  • Familiarity with accounting software (QuickBooks, Plooto, Dext).
  • Basic knowledge of bookkeeping and financial record-keeping.
  • Strong organizational and multitasking abilities.
  • Excellent verbal and written communication skills.
  • Detail-oriented with a high level of accuracy.
  • Ability to handle confidential information with integrity.
  • Proactive and able to work independently.
  • Strong team player with a collaborative mindset.

Nice-to-Haves:

  • Familiarity with procurement systems
  • Knowledge of HR processes and onboarding
  • Experience with project management software, such as Notion
  • Passion for sustainability and healthy living
  • Experience in Controlled Environment Agriculture
