Well-suited Office Personnel contributes to our team with an extensive knowledge of office administrative software, bookkeeping, and accounting.

Speaking to the nature of our business, knowledge of electrical procedures, practices, and principles is a major asset.

Office Personnel will report to General and Assistant Managers at Head Office, and be responsible for: answering phones; allocating service calls and work orders; payroll input; and, providing administrative support to staff where needed.

The role of Office Personnel strives to support daily operations at Head Office and assists daily administrative and financial tasks as they relate to a well-established and respected electrical contracting business with various moving parts.

The ideal candidate will have office/clerical/administrative experience working in a commercial electrical atmosphere; demonstrate the ability to prioritize multiple tasks at once; have exceptional interpersonal skills; and, exhibit an eagerness to learn and grow in the position.

Starting Salary:

Competitive salary / commensurate with experience.

Salary: $23.00-$25.00 per hour

Job Duties:

  • Perform clerical and administrative duties to ensure the prompt and efficient execution of daily business operations of the company.
  • Responsibility to greet all office visitors, whether it be guests, clients, partners, stakeholders, or team members, in a pleasant and polite manner.
  • Answer telephone inquiries; record and distribute messages; prioritize and dispatch calls; intake, create, print, and distribute client Work Orders for new and existing clients as they come in.
  • Record/maintain/organize/file project client/vendor records; and, regulatory administrative documents, etc.
  • Participate in tasks and activities related to Health, Safety, and Emergency preparedness in the electrical/electricians’ department.
  • Basic knowledge of computers (PC), printers, office computer/email software (MS-Office suite: Excel, Word, Powerpoint, Outlook, Teams, etc.), contractor software (Trimble Accubid), accounting software (QuickBooks Online), and project management/time tracking software (Quickbooks Time) .
  • Basic office correspondence (e-mail, letters, packages, etc.), including front desk services and handling company inquiries by phone and email.
  • Office resource and stationary inventory/distribution management.
  • Maintain an organized filing system for Head Office to control documents, such as Work Orders, time sheets, safety documents/programs, etc.
  • Ensure teammates are supported by exhibiting an eagerness to assist colleagues with additional tasks, such as work overflow and errands (when needed).
  • Print & drop payable invoices.
  • Enter employee time sheet data into QuickBooks Time to assist with time tracking, job scheduling, and project management.
  • Manage customer expectations with a sense of immediacy while maintaining a high-level of customer service.
  • Be self-motivated in completing various clerical tasks and troubleshooting solutions as problems arise.

  • Assist with other duties as assigned.

Qualifications:

  • High School (Required).
  • Clerical experience in the electrical field is an advantage, but not a requirement (commercial and/or institutional setting).
  • Great attitude with a desire to exceed customer expectations.
  • Must have excellent conflict resolution, problem solving, and analytical skills.
  • Facilitation of multi-step processes and programs involving many individuals.
  • Exhibit well-established data entry skills and a keen attention to detail/accuracy.
  • Must be highly motivated with strong work ethic, excellent written/verbal communications, problem solving, organizational, and interpersonal skills.
  • Ability to work both independently and as a part of a team.

Preferred experience with:

  • Microsoft Office suite (Outlook, Excel, Teams, etc.)
  • Trimble Accubid
  • QuickBooks (Online, Time, etc.)
