By The Lake Dental is currently accepting applications for a full-time Patient Concierge. This is an exciting opportunity to join our exceptional team and contribute with leadership, insight, and excellence in patient service within a patient-centered, highly respected dental practice.

About the Role

As the first point of contact for our patients, the Patient Concierge plays a key role in creating a welcoming and seamless experience.

Thisposition is ideal for a senior level administrative person with a background in the dental field, experience in treatment coordination, and/or a background in a clinical role.

We are seeking candidates who are:

  • A highly experienced dental receptionist who excels at patient care, administrative efficiency and has a strong knowledge of practice operations
  • An experience treatment coordinator looking to take on a more focused role with supervisory responsibilities

Key Responsibilities

  • Oversee the patient reception experience, ensuring each interaction reflects the practice’s commitment to professionalism, empathy, and efficiency
  • Manage and optimize appointment scheduling to align with daily production goals and support provider utilization
  • Supervise the accurate preparation and submission of insurance claims and treatment estimates, maintaining compliance and minimizing delays in reimbursement
  • Lead timely and empathetic communication across all patient channels (phone, email, in-person, texting), ensuring consistency and service excellence
  • Oversee appointment confirmation processes to reduce no-shows and maintain an efficient schedule
  • Take ownership of end-of-day financial and operational reconciliation, ensuring accuracy in reporting and readiness for the next business day
  • Serve as a liaison between administrative, managerial and clinical teams, facilitating smooth communication and collaboration across departments

Qualifications

  • Minimum of five (5) years of experience in a dental office environment, with demonstrated capability in both administrative and clinical workflows
  • Proven ability to lead and support a small team, managing front desk operations with professionalism, empathy, and confidence
  • Solid understanding of dental terminology, treatment planning, and appointment scheduling to ensure seamless patient experiences
  • Strong leadership and communication skills, with the ability to coach team members, foster collaboration, and resolve challenges effectively
  • Self-driven and results-oriented, with a strong sense of ownership and accountability for KPIs, deliverables, and overall patient service standards
  • Excellent organizational and time management abilities, capable of juggling multiple priorities while maintaining a high level of accuracy and efficiency
  • Experience managing multi-provider scheduling, ensuring effective time utilization and minimizing patient wait times
  • Proficiency in Dentrix software, as well as MaxAssist, with the ability to optimize there use for reporting, scheduling, and daily operations

Position Details

  • Full-time position (up to 40 hours per week)
  • Must be available for two Saturdays per month
