Prairie Storm Minor Hockey Association (PSMHA) is seeking a detail-oriented and proactive Administrative Assistant to join our Association. This work-from-home role is essential in ensuring the smooth operation of our operations, providing support to the Board of Directors and the Executive Director.

Qualifications and Experience

  • Strong organizational and time management skills;
  • Excellent communication and interpersonal skills;
  • Proficiency in Microsoft Office Suite and other relevant software;
  • Attention to detail and accuracy;
  • Ability to work independently and as part of a team;
  • Passion for hockey and the sports industry.

Key Responsibilities

  • Plan and coordinate monthly Board meetings and committee meetings when required. Take meeting minutes;
  • Responsible for basic social media tasks, including writing statuses and scheduling posts;
  • Develop and maintain registration form in applicable service provider (currently Sports Engine);
  • Work with the Treasurer to track registration payments;
  • Ensuring all player registrations have proper documentation is received and filed (birth certificates, and proof of residency, respect in sport for parents);
  • Create profiles for new players in HCR (Hockey Canada Registry), ensuring that proper documentation is uploaded to the system.
  • Ensure that all required HCR information has been provided to PSMHA for each player.
  • Roster teams in applicable leagues by the deadline; update all rosters as required.
  • Ensure all Vulnerable Sector checks have been received, are updated in HCR, and filed appropriately;
  • Working with the Development Director, facilitate/coordinate skills sessions (camps/clinics) for applicable divisions for players and coaches, including power skating, goalie clinics, checking, defense development;
  • With the Equipment Coordinator, manage, maintain, acquire, and distribute equipment owned by PSMHA;
  • Create team invoices and distribute;
  • Roster teams in SportsEngine;
  • Ensure all coaches have applicable coaching certs prior to the deadlines
