ATS Identity Sync for Smart Screening

ATS Identity Sync connects your applicant tracking system (ATS) to Indeed. It helps you manage who can use Smart Screening on your team.

When ATS Identity Sync is on, Indeed uses your ATS to decide:

  • Which people can access Smart Screening
  • Which jobs they can access and edit

This means you don't need to set up these permissions in Indeed.

Important: This feature isn't available for all employers. Contact your Indeed representative for more information.

How ATS Identity Sync works

Managing access in more than one system can take a lot of time. ATS Identity Sync makes your ATS the single source of truth for Smart Screening permissions.

Once it is turned on, Indeed will:

  • Review the roles and job assignments in your ATS
  • Match those people to the right jobs in Smart Screening

Only the people tied to a job in your ATS will be able to find that job in Smart Screening. Admins will keep their ability to access all jobs in Smart Screening.

Key benefits

Automatic updates

User permissions are refreshed at least every two hours to keep up with changes in your ATS.

Simplified visibility

Recruiters and hiring managers can only access the jobs assigned to them.

Less manual work

You no longer need to invite users or assign Smart Screening permissions inside Indeed.

Eligibility

To join the ATS Identity Sync pilot, you must have:

  • An active Smart Screening subscription with at least one job enrolled
  • A supported ATS that already sends jobs to Indeed
  • Clear roles set in your ATS for each job, such as Recruiter or Hiring Manager

If you aren't sure whether you qualify, contact your Indeed representative.

How permissions work

ATS Identity Sync only controls access in the Smart Screening Hub.

It doesn't change:

  • Your general Indeed account access
  • Permissions for other Indeed products

Permissions come from the roles set in your ATS:

Recruiter

  • Indeed permission: Read & Edit
  • What they can do: Access and change Smart Screening settings for assigned jobs

Hiring Manager

  • Indeed permission: Read Only
  • What they can do: Access Smart Screening settings for assigned jobs, but not change them

What to expect when ATS Identity Sync is enabled

When you turn on ATS Identity Sync, your ATS becomes the only way to manage Smart Screening access.

Locked permissions

You won't be able to change Smart Screening permissions in Indeed.

New users

If someone is in your ATS but doesn't have an Indeed account, Indeed creates a dormant account for them. They get full access after they sign in to Indeed with the same e-mail address used in your ATS.

Sync timing

Changes you make in your ATS, such as adding or removing a recruiter from a job, will show in Indeed at least every two hours or sooner.

Setting up ATS Identity Sync

The steps to set up ATS Identity Sync depend on your ATS.

For most ATS platforms (non-Workday)

  1. Open your ATS settings.
  2. Choose your ATS and follow the prompts to enter API credentials.
  3. The connection is created almost right away.

For Workday

Setup uses a direct integration:

  • If you already use ATS Sync for Workday, your Indeed representative can help turn on ATS Identity Sync.
  • Your Workday administrator must review and approve the needed API permissions.

Source Management

When you connect your ATS to Indeed using ATS Identity Sync, you get access to a feature called Source Management.

It tracks how each user was granted access, either automatically by your ATS or manually by an admin. Admins get a single, clear view of what each user can access and how that access was set. This protects manual changes from being accidentally overwritten by the automatic sync.

With Source Management, admins can easily review what each person can access and why. This means fewer mix-ups, less troubleshooting, and a more reliable system for your team.

FAQs

Question: I removed someone from my ATS. Will ATS Identity Sync remove Smart Screening access?

Answer: Yes. If you remove someone's access to a job in your ATS, the sync will remove their Smart Screening permissions for that job.

However, it doesn't remove their Indeed employer account. Remove the user from your employer account to stop their access to other Indeed features.

Question: Can I use custom role titles with ATS Identity Sync?

Answer: Maybe. The sync is designed for the standard Recruiter and Hiring Manager roles. During setup, your Indeed team can check if your custom titles can be mapped to either of these roles. Some custom titles may not be supported.

Tip: Check your ATS settings to find out if you can use custom titles.

Question: Can I stop ATS Identity Sync?

Answer: Yes. If you want to disable the sync, contact your Indeed representative.

When the sync is turned off:

  • The permissions from the last sync will stay in place
  • They will not update automatically anymore
  • An administrator must change user permissions on the Users page in your Indeed employer account

Question: Do users keep their Smart Screening permissions on Indeed if they are not in the ATS?

Answer: No. If a user does not have a matching role in the ATS, their Smart Screening permissions on Indeed will be removed. If they do have a matching role in the ATS, their Smart Screening permissions on Indeed will be updated to match that role.

Question: If domain enforcement and ATS Identity Sync are both turned on, will only ATS users with allowed e-mail domains be synced to indeed.com?

Answer: Yes. Only users from your ATS whose e-mail addresses use a domain that is allowed under your domain enforcement policy will be synced to indeed.com. All other users will not be synced.
