Receptionist (Current Employee) –  Duncan, BC22 October 2013
Administrative Duties:
Greet customers and help direct them to the right department
Answer phones
Mail:
• pick up every morning and drop off mail every night
• mail/order ADP imaging ink cartridges, ribbon, and drum (printer supplies)
Gift certificates and letters
Order supplies for everyone
Arranging and ordering forms and paperwork, business cards, etc.
Postage Machine (and adding postage to the machine)
EXCEL- gas chits, parts invoices check list, stocking sheet, new units, master key list, 2014 new car price sheets, washout sheet, in/out sheet, sales transactions(this includes insurance also), cash sign-out sheet
Stock customer washroom(if Maria hasn't)
Keep coffee area tidy and topped up with supplies
Take cash and interact transactions for parts, service, insurance and business office if needed
Clean/organize kids bin in customer area
Purolator
Keep track of staff vacation - email reminders to everyone
Try to keep track of staff breaks - In/Out Sheet
Scan and email information for staff and fax if needed
Create Closing signs - when needed
Lien searches
Update and change of address for service customers
Update staff contact list, employee extensions, sales staff schedule (when needed)


Service Duties:
Print next day's appointment
Owner enquiry on appointments - campaign/address check
Remind (call or email) customer of appointment

Log dealer trades into E-biz
Log in new and used vehicles - One Eighty and ADP
Journal entry - part of logging in new vehicles
*New car price sheets*
Updating Key Control lists - new and used
Track sales calls
Update mailing addresses for sales
Excel-Stocking sheet, New Units, Master Key list (new and used), New car price sheet, washout sheet, Red tag prices, Aun prices, and Sales transactions

Accounting Office Duties:
Take deposit to Scotia Bank - When needed
Take information and process transaction for payment on accounts receivable

I worked 8-10 hrs, 5 days a week and I enjoyed learning more about sales in the auto industry.

I would start my day in my area provided with a computer and check my Ct Wizard program to set and check my daily tasks. I would check out which customers and prospects to email and phone. Then I would see where the rotation was amongst the sales staff and if I was next I would prepare myself for the next person who came to Discovery Honda needing help looking at vehicles.
Pros
i love selling, so everyday i set out to accomplish my goals.
Cons
when it was slow and business was hard to come by, costly mistakes made by management that cost me money.
