About Our Opportunity

In this role you will be responsible for a wide range of administrative duties and you are considered the organizational hub of the office. You are a critical team resource who ensures that administrative functions of the office operate efficiently by planning and coordinating a variety of services and providing staff and partners with current and up-to-date information.

Primary Accountabilities

We count on your expertise to ensure efficient operations of administrative support functions through effective office management. Working in a fast paced, highly collaborative, and continuously evolving environment you are highly adaptable. You will ensure the effective coordination, and efficient operations of the office through your excellent client services. You will act as the liaison for staff, other government departments (federal, provincial, and territorial) as well as external stakeholders in a highly confidential environment.

A few of your key responsibilities will include:

  • Managing the Divisional Directors schedules;
  • Preparing & coordinating confidential letters, Ministerial Correspondence, briefing note materials, reports, presentations and documentation on behalf of senior leadership;
  • Managing meeting agendas, including minutes and following up on actions;
  • Routing and prioritizing all incoming mail, inquiries, and correspondence for the PSC;
  • Coordinating Directors travel and accommodations, as required;
  • Coordinating the division’s budget, monitoring forecast documents, processing invoices;
  • Welcoming, coordinating visitors and guests to the Argyle Street PSC Office
  • Arranging meetings and events; and
  • Ensuring constant innovation and administrative process improvements.

In addition to the above, you will work to ensure efficient work flow is achieved by managing numerous operational processes, such as bring forward and workflow monitoring systems and correspondence processing.

Qualifications and Experience

To be considered for this opportunity, you hold a 1-year course in a relevant field (ie business, administration, clerical) and in addition, you hold 3 or more years of administrative experience. An equivalent combination of training and experience may be considered.

You also have effective interpersonal, communication, and team collaboration skills. In addition, you are organized and can set priorities, and meet deadlines. You complete your work with autonomy, discretion, tact, and sound judgement.

You have excellent attention to detail, and you respect the confidential nature of your work. You have strong computer skills and are proficient in Word, Outlook, and Excel. You also possess experience with records management systems, and scheduling programs.

The competencies viewed as critical to the success of this position includes: analytical thinking, attention to detail, effective interactive communication, intercultural and diversity proficiency, adaptability and flexibility, client orientation, initiative.

We will assess the above qualifications and competencies using one or more of the following tools: written examination, standardized tests, oral presentations, interview(s), and reference checks.

Working Conditions

Most of your time is spent in a comfortable office setting. Your normal work week is 35 hours/week, 7 hours/day. You may be required to work overtime on occasion. Occasionally you may need to move or lift objects such as boxes, inventory, or files.

Additional Information

This specific role is required to be in the office 4 days a week at minimum. (remote work options will be contingent on operational requirements).

Pay Grade: EC 03

Salary Range: $1,629.82 - $2,037.28 Bi-Weekly
