Job Summary
We are seeking a detail-oriented and proactive Executive Assistant to join our team. The ideal candidate will provide essential support to ensure the smooth operation to our president. This role involves managing various administrative tasks, maintaining organized records, and delivering exceptional customer service. The Administrative Assistant will be responsible for handling phone communications, scheduling appointments, and assisting with clerical duties and personal errands. This is a very important role working along side our president, Able to travel, work alone and in a group. Must be very flexible.

Responsibilities

  • Manage incoming calls and provide excellent phone etiquette while utilizing phone systems effectively.
  • Schedule and coordinate appointments using Outlook Calendar to ensure efficient time management.
  • Perform proofreading of documents to maintain accuracy and professionalism in all communications.
  • Provide clerical support including filing, data entry, and maintaining organized office records.
  • Assist with customer service inquiries, ensuring a positive experience for all clients and visitors.
  • Utilize QuickBooks for basic accounting tasks as needed, ensuring accurate financial record-keeping.
  • Maintain office supplies inventory and order supplies as necessary to keep the office running smoothly.
  • Collaborate with team members to support various projects and initiatives as required.

Requirements

  • Proven experience in an administrative role or similar position is preferred.
  • Strong organizational skills with the ability to manage multiple tasks efficiently.
  • Excellent phone etiquette and familiarity with phone systems is essential.
  • Proficiency in Microsoft Office Suite, particularly Outlook Calendar, is required.
  • Basic knowledge of QuickBooks is a plus but not mandatory.
  • Strong attention to detail with effective proofreading skills.
  • Exceptional customer service skills with a friendly demeanor.
  • Proficient in English language and computer skills
  • Ability to work independently as well as part of a team in a fast-paced environment.
