Position Summary


As an Executive Assistant, you will provide high-level support to the Director of Board and Superintendent Relations and the Board of Trustees, overseeing administrative, operational and budget functions. This pivotal role requires an in-depth knowledge of the Division’s organizational structures, policies and Board governance. We require a proactive professional with a strong service orientation who is used to working in a fast-paced, highly political environment.



Job Duties/Responsibilities


Executive Governance Support

  • supporting the Director and nine Trustees by managing workflow, calendars, emails, coordinating meeting logistics, and making travel arrangements for conferences
  • supporting the Corporate Governance Coordinator as backup for the Trustee Service Request system and Board meetings
  • maintaining filing, recording and tracking systems to ensure effective flow of correspondence and records

Financial Management Accountability

  • preparing budgets and customized financial reporting along with managing all financial transactions for the department
  • processing and reconciling Trustee expense claims and allocation balances to ensure accuracy for public disclosure

Operational Coordination Stakeholder Relations

  • coordinating administrative functions for the department including the development of system and procedures to ensure coordination between the Board office, Superintendent’s office and other central departments
  • liaising with Division staff and external organizations regarding Trustee’s participation in community events
  • assisting schools and community groups in extending invitations to Trustees for special events including tracking attendance and advising on appropriate protocols
  • receiving guests visiting Trustees at the Centre for Education and providing reception support in the Superintendent’s area as required


Education/Qualifications
  • diploma in Office Administration or a related field
  • minimum of three years’ proven experience in an executive administrative role, preferably within a large organization or educational setting
  • advanced computer skills and the ability to manage complex digital scheduling and document management systems
  • exceptional verbal and written communication skills
  • strong problem-solving and analytical skills coupled with the ability to work independently and manage competing priorities
  • demonstrated commitment to the Division Strategic Plan, equity, and a collaborative work environment

Rate of Pay


$43.40 - $55.42 per hour
