Currently we have an immediate opening for the following position:
CAPITAL PROJECT DIVISION
Reporting to the Manager, Transmission Projects this position will provide clerical and general administrative support to Transmission Projects team in
Preparation of business documents; assisting with the collection of project related information and plans,
Inputting requisitions in Oracle and maintaining records appropriately.
Processing and verification of contractor invoices and manual payable disbursements
Preparation and verification of employee expense reports and delegating responsibilities as appropriate
Administering Oracle Timesheet entry and reporting
Managing HSE Incident and Near Miss initiation, including data entry, tracking, and reporting
Arranging and coordinating travel and accommodations.
Maintaining and coordinating conference room and equipment booking.
Supporting health and safety initiatives.
Coordinating I-Tek service requests and maintaining accurate records of requests.
Assisting with various office database maintenance and administration.
Supporting the team with printing, document scanning, and file management.
Arranging and coordinating meetings, preparing agendas, taking meeting minutes, and arranging catering and required resources
Other duties as required.
Grade 12 high school diploma required.
Office Administration Certificate or Business Diploma or Certificate is preferred.
2 years previous administrative experience.
Highly proficient in the Microsoft suite of programs, including Outlook, Access, Word, Excel, and SharePoint
Related experience in Oracle will be considered a strong asset or some related accounting experience.
Excellent organizational skills.
The ability to effectively plan and prioritize work loads to meet deadlines.
Work effectively in a multi-functional team environment.
Strong written and verbal communication skills.
