Responsibilities
The Event Team is responsible for the planning, communicating, and executing all events at Softchoice. These events include internal conferences, customer facing event marketing, incentive travel and sales engagement programs. Working in conjunction with other members of the team, the Event Coordinator is a major contributor to the successful execution of all events. As a member of the Softchoice Events Team, this position is responsible for the planning, management and execution of the Sales Engagement programs.
This role will also support the other corporate event marketing initiatives around planning and execution of the internal and customer facing events.
The primary responsibility of the role is to coordinate the all Sales Engagement events for all five call centers across North America. In addition, the Corporate Event Coordinator – Sales Engagement will be in charge with the task of liaising and facilitating communication of desires and expectation to various suppliers, vendor partners, and internal stakeholders. The incumbent will be expected to provide on the ground coordination and logistics support during many of the events in the Toronto office.
To accomplish this goal, the Event Coordinator will need to be able to prioritize highly time sensitive objectives and demonstrate an ability to get things accomplish through multiple logistic partners, and IT vendors. Here are some examples of tasks that the role will be responsible for:
Responsible for managing all training and event requests
Manage invitations, logistics and communications of events
Maintain revenue requirements per event and record bookings accurately
Track ROI for all events & reporting back to key stakeholders
Manage Proof of Performance through updating weekly records of attendance for each event
Manage Vendor Account Manager expectations of events
Create weekly newsletter for each branch reflecting event time, vendors and required attendees
Create monthly calendar view for telesales teams and managers
Communicate with Visitor Coordinators at each branch to gain alignment on each event
Ensure a 72 hour Service Level Agreement with all requests
Ensure food, rooms and IT equipment is properly planned for each training
WORKING ENVIRONMENT: Standard work day for part-time: Required for 20 hours a week (between 10am-3pm) in the Softchoice Toronto office.
