V.I. Pest Doctor is a successful Nanaimo-based business that has built a strong reputation on delivering results and superior customer service. We service the Island from Cobble Hill to Bowser and Port Alberni.

Our business is growing and we are looking for a full time Office Assistant to join our team.

The Office Assistant is responsible for the effective management of customer needs and basic office duties. Working with the Office Manager, the incumbent must carry out both customer service and administrative functions. The position requires effective communication skills, a high level of tact and professionalism.

Duties and Responsibilities
- Tasks may vary based on business volumes and with the evolution of the business. They will include (but are not limited to):
- Answering phones
- Informing customers of treatment types, procedures and application protocol
- Scheduling and managing daily appointments
- Follow-ups – identifying and carrying out any additional duties inherent to a given treatment; keeping customers informed
- Reviewing and processing, in a timely fashion, paperwork submitted to main office
- Data entry; posting completed work, invoices and payments
- Checking that all processes are completed and accurately recorded

Competence Required
The Office Assistant shall have the following competencies:
- The confidence and patience to deal with all aspects of customer service
- The ability and desire to learn industry protocols
- The ability to work independently and efficiently in an organized manner
- The ability to communicate effectively both written and oral
- The ability to maintain, in the strictest confidence, knowledge of confidential matters
- The ability to work with, and learn new, computer software
- The ability to maintain a professional appearance and attitude at all times
- The desire to make a difference and contribute within a fun team environment

Required Qualifications
- Minimum of 2 years previous Administrative experience, required
- Post-secondary education (business/administrative program) or combined equivalent education and experience, preferred
- Computer literate - Proven working knowledge of MS Office Suite (Word, Outlook & Access or other data entry system)
- Basic working knowledge in data entry, filing, accounting and e-filing
- Minimum typing speed of 45 wpm, with accuracy
- Criminal Records Check
