SALARY: Commensurate with qualifications and experience

LOCATION: BC Centre for Excellence in HIV/AIDS (BC-CfE), Vancouver, BC

JOB: The receptionist / payroll clerk will be the first impression to the public of the BC Centre for Excellence in HIV/AIDS, your presentation will be courteous and professional at all times. In addition to answering and directing phone calls, you will be responsible for mailing, maintaining staff directory, ordering office supplies, providing administrative support and direction to visitors and staff as necessary.

ORGANIZATION: The BC-CfE currently employs a team of Statisticians, Programmers, Data Managers, Clinical Research Assistants, Data Analysts and Data Entry Clerks who work collaboratively on cohort-based epidemiological and clinical studies. The BC-CfE is a world-renowned HIV/AIDS Research Centre including Research Laboratory, Clinical Trials, Drug Treatment Program, Epidemiology and Professional Education Programs.

JOB RESPONSIBILITIES:

  • Performs front-desk duties including greeting, assisting and/or directing the general public
  • Receives, directs and relays telephone messages, emails and fax messages
  • Sorts, date stamps and distributes incoming/outgoing mails and arranges couriers
  • Manages office supplies, physical plant contact and equipment
  • Assists in the planning, booking and preparation of meetings, conferences and conference telephone calls
  • Maintains employee directories and phone lists
  • Other general office duties as appropriate

JOB QUALIFICATIONS:

  • Completion of college/CEGEP/vocational or technical training
  • Minimum 2 years experience in a similar role
  • Knowledge of administrative and clerical procedures
  • Certificate or diploma in Office Administration program an asset
  • Proficiency with MS Suite (Outlook, Word and Excel)
  • Excellent communication (verbal and written) and interpersonal skills
  • Professional personal presentation, dressed appropriately, with a positive attitude
  • Ability to maintain confidentiality and exercise extreme discretion
  • Strong organizational, time management and prioritizing skills
