LVM-HTES, a subsidiary of Dessau, is currently looking for an Executive Assistant to join the Calgary office. Reporting to the General Manager, your main tasks will be to provide administrative support and execute complex secretarial tasks that are often confidential in nature. Specifically, you will:
Responsibilities:
Manage the General Manager's agenda;
Be in charge of logistics pertaining to meetings, business trips and special events;
Participate in meetings, take notes and prepare minutes of meetings;
Collect information and prepare documents for discussion and presentation purposes;
Ensure management and follow-up of issues;
Ensure document approval;
Review, revise and correct documents for the team;
Coordinate the integration of new employees;
Perform various simple accounting tasks, including budget monitoring;
Document management : typing lab/field results; copying, filing (soft and hard copy) and faxing;
Support the Management in the recruitment process;
Prepare the PO and requisition for all the corporate purchases.
Qualifications
Diploma of College Studies in Office Automation;
Minimum of 5 years experience;
Good knowledge of MS Office software;
Superior English language skills, French a significant asset
Flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients.
