Reporting to the Food Skills for Families Manager, the Administrative Assistant, Food Skills for Families (FSF), is responsible for providing administrative support to the FSF program and other projects as directed to support achievement of program targets.
RESPONSIBILITIES:
1. Provide daily administrative assistance to program staff and consultants.
2. Communicate with and support Community Facilitators, Master Trainers, host agencies and program consultants to facilitate the scheduling and delivery of FSF programs.
3. Mail program materials to Community Facilitators and ensure submission of administrative and evaluations materials.
4. Collect, verify, record and submit invoices for program expenses; request invoices for host-paid programs; and reconcile program expenses.
5. Monitor program material inventory and assist with revisions and printing of FSF materials.
6. Produce correspondence, reports, collateral and presentations.
7. Book travel and meeting arrangements for the FSF program.
8. Produce and circulate meeting minutes for FSF.
9. Perform data entry and database management.
10. Maintain central filing system for the FSF program.
11. Provide content management support for FSF website.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
- Proficient in Microsoft Word, Excel, PowerPoint, Access, and desktop publishing software, with a minimum typing speed of 60 wpm
- Excellent oral, written and interpersonal communication abilities with customer service orientation
- Excellent organizing, problem solving and time management skills, with great attention to detail
- Proven ability to meet multiple deadlines and to work well under pressure
- Able to work well independently and as part of a team
- Ability to work flexible hours, including periodic evening and weekends, and occasional within and outside of BC
- Minimum Grade 12 education; related post-secondary education preferred
- Minimum 3 years related office experience, preferably in the non-profit sector
- Reception experience
