Working directly with and reporting to the Site Manager the Site Administrator will be responsible for playing an integral part in the day to day functions of our Project Field Operations and Construction group. Key responsibilities will be that of assisting all Project Management and Site Superintendent Staff in addressing our overall day to day operations and departmental needs.
This is a rotational position consisting of three weeks (21 days) in and one week (7days) out.
Responsibilities
Compile and submit all Field OPS - Field Deficiency Reports (FDR) to Construction PM for WIP record and reference
Compile and submit all Field OPS – Extra Work Cost Summary (EWCS) to Construction PM for WIP record and reference.
Assist with daily management of Time and Material (T&M) Sub-Contractors.
Sourcing and purchasing materials, rental equipment, office supplies, tools and services as required to support the project requirements.
Compile and submit accurate Field Operations & Construction field employees personal contact information, drug & alcohol testing info, job site course / certification programs, labour classification, current rate of pay, date of hire to Field Operations Administrator.
Complete and submit Daily Progress Reports.
Compile and submit all field payroll records reported from the Site Managers.
Take the lead role in addressing and resolving any field payroll questions or concerns that may arise.
Maintain an accurate record of all rotational pay owed / reimbursed to all hourly field employees. Ensuring that all related travel distances and turnaround schedules are reimbursed correctly.
Arrange travel, room and board and ground transportation for all site personnel, ensuring that all flight itineraries are received and distributed to the required parties.
Ensure that all site crew travel / flight expenses are compiled and reported with proper coding allocation and submitted to directly to Construction PM in Calgary Office for approval and pay.
Assist the ASL Site Manager with the day to day organization of our required workforces by assisting with the scheduling, arranging and dispatching man power as needed.
Provide continual input into recommended process improvements; as we grow and expand our Field Operations and Construction group.
Maintain a strong means of day-to-day communication with the entire Field Operations and Construction group.
Provide day to day administrative support, data entry and general filing duties as needed.
Performs other duties as assigned.
Qualifications
Possess a minimum of 3-5 years experience in construction industry
Also possess 3-5 years general business experience with related post secondary schooling
Excellent problem-solving, decision-making and negotiation skills
Ability to operate with minimal amount of supervision
High organizational and administrative skills
Strong time management skills
Strong oral and written communication skills
Positive and proactive team player.
