As a member of the Organizational Development (OD) team and reporting to the Staffing Manager, you will provide administrative support to the staffing team and also take part in providing support to the training team. Your primary duties will be divided as follows:

Staffing:
Receiving all requisitions, opening all recruitment files, and dispatching these to the appropriate Staffing Specialist;
Adding new positions to the staffing report and ensuring the report is up to date at all times. Issuing the monthly figures reports;
Drafting, based on the information the Staffing Specialists give you, the internal job postings and coordinating the translation of said postings;
Coordinating external job postings as requested by the Staffing Specialist;
Creating and/or nurturing ties with service suppliers (websites, newspapers, etc.) and maintaining their information up to date (contact person, cost of postings, release/distribution methods, deadlines, etc.);
Preparing welcome kits and managing the inventory of items required;
Assisting the Staffing Manager with coordinating career days and job fairs;
Tracking the training team's budget monthly, and drafting a quarterly report for the Staffing Manager.

Training:
Receiving, examining, coding training related invoices and having these approved;
Entering the appropriate data in the various systems (budget, HR Expert, etc.). Entering the results for all PMPs and generating the report to be reviewed by the OD Specialists;
Handling all the logistics for various training activities (booking rooms, sending course registration confirmations, monitoring the process through to the receipt of invoices and their entry in the HR system);
Answering all information queries pertaining to training as well as requests from suppliers wishing to present their services (consultants, facilitators, hotels, etc.);
Handling, in tandem with the OD's Senior Administrative Assistant, the logistical support for annual events (strategic planning meetings, HR Forum, etc.);
Providing support to the entire OD team with respect to the following administrative tasks: processing the mail, ordering office supplies, various reports, file keeping, filing. Providing the information requested or forwarding calls to the appropriate individuals;
Collaborating in or contributing one's expertise to the development of special projects. Requirements

Diploma of Collegiate Studies in Office Automation or equivalent field;
Minimum 2 years relevant experience in a similar position (in human resources would be an asset);
Excellent command of Excel (pivot tables);
Sound command of Word and PowerPoint;
Excellent command of spoken and written French and English is essential (one team member in Ontario);
Capable of handling several assignments at once;
Aptitudes sought for this position are a sense of urgency, great flexibility, initiative, teamwork, attention to detail, discretion and excellent customer service.
