As a member of the Organizational Effectiveness team in the Human Resources Department, this position provides a broad range of administrative support to the HR Organizational Effectiveness Team. This position coordinates multiple OE projects, programs, tasks and priorities and must work collaboratively with other staff members in OE and HR.
Coordinates program logistics for Enbridge University West (ENBU). Manages course logistics and coordination including initiating communication with internal and external instructors and administrative support staff in various geographic regions.
Uses strong judgment and initiative to communicate with internal & external instructors and administrative support staff as related to areas of the Enbridge University (ENBU)
Arranges set up of venues, collects & modifies curriculum materials, handles registration procedures, provides required support to participants, administers & summarizes evaluations (both paper-version and web-based tool).
Produces communications and materials for distribution to participants to promote learning opportunities across the West
Posts learning events, and manages relevant documents on eLink/eLMS and relevant participant data in PeopleSoft.
Serving as eLMS Administrator, maintains the eLMS system including uploading, editing, course registration functions, and monitoring of content and design
Maintains strong working knowledge of the Learning Management system (eLMS) to appropriately promote, register, and track participants learning paths
Performs regular office management functions for the team including the onboarding and provisioning of new staff (as needed). This includes identifying resource needs including office space, ID and security card access, computer requirements, telephone and office requirements
Working in collaboration with HR Business Support, create position request forms, job descriptions, and PeopleSoft eRecruit processes (as needed)
Works closely with OE Lead/Advisors on managing 360 degree feedback back-end process and administration of assessment tool for Mgr-level and above across Business Units in the West.
Works closely with Advisor to coordinate Mentoring events throughout the year including initial pairing of partners, Kick-off event, Mid Year celebration and Year End closing ceremonies. Contributes content to internal intranet site for the monthly Mentorship newsletter.
Processing and coding of all expenses within the Enbridge invoice system - OE 1000 (Corp) / OE 4000 (LP)
Coordinates the execution of Education Refund Program and MBA reimbursement requirements for Business Units in the West. This includes coordination of tracking systems for education refund policy
Coordinates receipt of external vendor contracts and ensures appropriate documentation is developed and maintained within the internal filing system and with Enbridge Legal Services
Coordinates and schedules internal and external meetings and conference calls including catering and audiovisual equipment requirements.
Accurate and timely delivery of documentation required for meetings and presentations including creation of agendas and transcription as required for meeting minutes
Preparation and modification of documents including letters, memos, reports, presentations, work orders as required
Manages electronic calendars, scheduling, coding of invoices, expense reporting, and personal time entry
Develops and establish effective processes in meeting organizational objectives
Maintains proactive filing system for OE function.
Proactively identifies system/process improvements to support OE function.
Exercises judgment and decision-making in implementing initiatives/projects.
Performs other related duties as required such as research analysis, record keeping, filing, correspondence, compiling metrics, photocopying, faxing, minute-taking, and scheduling etc.
Proactive problem solving of day-to-day challenges in work area
Anticipates and initiates appropriate action/recommendations to meet evolving needs of the company
Post-secondary secretarial or administrative assistant training, General business training preferred.
Minimum 3 years directly related experience in an office environment.
Extensive knowledge of program area and in depth knowledge of related practices and standards
Requires sound knowledge of practices and processes in HR or OE
In depth working knowledge of software applications and related office systems.
Proficiency with MS Office suite (Microsoft Word, PowerPoint, Outlook, Excel, etc).
Well-developed Internet navigation.
Strong organizational skills. Ability to prioritize work to support to multiple clientele in a fast-past environment.
Strong attention to detail and high degree of accuracy.
Ability to demonstrate initiative and decision-making within scope of responsibility.
Ability to make suggestions to streamline and continuously improve relevant systems and processes.

Ability to work flexible hours when required (early arrival on event days for set up and late finish required for wrap up).
