Purpose of Position:
We are looking for an Administrative Assistant to join our downtown Montreal office. The successful candidate will be responsible for assisting assigned broker(s) in the daily operation of the business line. As well as provides administrative support and superior service to internal staff and clients where required.
Summary of Essential Job Functions:
- Provides administrative support, including word-processing, generation of presentations/proposals which include tables, inserting images, Excel spreadsheets and graphs, etc., prepare project timelines, legal documents (Offers, Letters of Intent, Commission Agreements, etc.), general correspondence, and spreadsheet reports.
- Coordinate and produce promotional marketing materials and flyers.
- Perform various research tasks (ie- confirming building info, taxes).
- Liaise with other depts. (Marketing/Research) to obtain material required to complete various reports/projects (stacking plans, marketing materials, statistics).
- Manage broker listings, broker communication, broker web pages and property web pages.
- Provides general office support, filing and file maintenance, upkeep of high traffic areas (copier room, lunch room, meeting rooms).
- Schedule meetings and reception coverage, as required.
- Maintain positive relationships with staff, brokers and clients to ensure high level of satisfaction.
- Assist with projects from time to time as directed.
Required Skills:
- 3 to 5 years of business or office experience (real estate experience an asset).
- Strong verbal and written communication skills, both in French and English.
- Ability to deliver excellent customer service at all levels of the organization and with external partners.
- Possess strong organizational, time management and project management skills with a demonstrated ability to work both independently and within a team environment.
- Must have computer proficiency in Word, Excel, and PowerPoint. Photoshop or other Graphic Software is desirable. Knowledge of SharePoint, or other document sharing facilities.
- Exhibit a high level of professionalism and excellent interpersonal skills.
- Strong relationship-building ability, proactive, results-oriented, and resourceful.
- Ability to meet deadlines without compromising accuracy, excellent product quality and attention to detail.
