Role and Responsibilities

Provides general administrative support to the Executive Director and the Board of Directors as required.

Provides assistance and back-up to the Manager, Executive Office and Board Administration.

Makes travel and hotel arrangements; prepares itinerary and completes expense reports.

Organizes and schedules appointments and meetings, coordinating logistics such as catering and hotel accommodations.

Administers bring forward files; monitors and follows-up on action items.

Writes and distributes meeting minutes as required.

Plans and assists with the development of meetings, conferences, workshops, conference calls, and special events.

Updates the Board-related information on the website.

Sorts and reviews incoming correspondence and inquiries; develops or initiates responses and refers correspondence to staff.

With the Manager, Executive Office and Board Administration, organizes and maintains files for the Executive Office.

Writes or assists in the development of reports, correspondence, presentations, agendas and other materials.

Edits and proofreads documents.

Accountable to the Manager, Executive Office and Board Administration, the Administrative Assistant provides administrative coordination support for the Executive Office and Board of Directors.
