Office Operations Coordinator – Facilities
We are seeking an experienced Office Operations (Facilities) Coordinator to join our Office Operations team at CoSyn Technology to provide coordination for all office and telecom moves, additions, changes and daily operational activities. This includes space planning and furniture inventory maintenance.
Responsibilities:
Office space analysis and planning on a weekly basis and as required by the day-to-day changes of the business requirements (staff reassignments, additions, moves, etc.)
Coordination of furniture, equipment and telecom facilities necessitated by staff changes, moves, additions, etc.
Assisting with the supervision of related outside contractors and vendors as necessary
Coordination of the maintenance and repairs of offices and cubicles
Complete both pre and post-occupancy inspections of offices and cubicles
Coordination and management of all conferencing-on-demand accounts
Management and audit of all cell phone billings and report monthly and quarterly
Maintenance and distribution of current updates of office floor plans
Maintenance and distribution of internal phone directories
Preparation of business proposals and reports, as required by the Office Operations Team
Creation, maintenance and report of equipment, furniture, asset and expense logs and records
Ensuring all office signage is posted as required in accordance with standard procedures
Assisting the Office Operations Lead with project management and special assignments as necessary
Providing support for various services within the Office Operations Team including operational activities, security requirements, etc
Job Requirements
Requirements:
Minimum high school diploma required, post secondary education preferred
Minimum 5 years professional office experience including facility responsibilities
Project Management experience an asset
Proficiency in MS Excel with proven capabilities with office productivity tools such as MS Word, Access, Outlook and PowerPoint
Strong and effective interpersonal and communication skills; able to provide excellent customer service to a variety of internal and external customers in a timely and professional manner
Results-driven with flexibility, creativity and initiative in work approach
Effective communicator, capable of relaying information accurately to achieve desired outcomes
Strong aptitude in managing details and logistics
Excellent time and project management, multitasking and organizational skills within a diverse, multi-disciplinary environment
Able to effectively identify issues, evaluate information, and define appropriate, realistic solutions in a rapidly-changing environment
Capable of working effectively with minimal supervision with the ability to organize teams, delegate, assign and coordinate
