We are currently seeking an Office Services Supervisor at our Regina, SK location. The successful candidate will be responsible for planning and coordinating all administrative support and office services for the company. This includes overseeing reception duties, supplies and stationery inventory, office equipment, office layout and managing service provider contracts or agreements. He/she will also lead the management of building security and ensure the facility is in compliance with local safety regulations. Designing and implementing standard office policies and procedures and maintaining the Regina office budget is also required.
What will you be working on?
- Oversee all building maintenance and improvements for Mosaic's Regina office. Act as liaison with building operator and supervise all approved maintenance service vendors. Provide leadership and direction on all office reconfiguration or improvement projects. Manage the maintenance and repairs of the office space and furniture. Oversee procurement, administration and coordination of employee parking.
- Manage and coordinate office activities, including the reception desk, supplies and stationery, office equipment and various other duties.
- Assist in the management of building security, via control and assignment of access cards, etc. Act as a lead member of the Regina OH&S committee and/or the Regina safety committee. The incumbent will be responsible to ensure that the Regina Office safety program is in alignment with corporate requirements and compliant with all pertinent regulation and law. He/she will also administer the local AED program.
- Manage the company vehicle pool and manage the Regina Office budget. Other duties as assigned.
- Design and implement policies by establishing standards and procedures.
Position Requirements:
What is required for this role?
- Minimum Grade 12, preference may be given to candidates with a diploma/certificate in Administration or a related discipline
- Minimum of 3 years work experience in office/facility management
- Knowledge of office administration, previous responsibility for leading or supervising others, knowledge of accounting procedures, knowledge of procuring materials & services and budget management are required. First aid skills and certificates are considered assets.
- Intermediate to advanced knowledge of Microsoft Office Products including Word, Excel, PowerPoint and Outlook.
- Strong verbal and written communication skills, demonstrated leadership skills and an ability to effectively communicate with all levels of employees. Must be highly organized, have sound decision making skills and the ability to enforce rules and regulations.
- Employment is subject to successfully completing Mosaic's pre-employment checks including criminal, drug and alcohol testing.
- Must be authorized to work in Canada.
