Position Profile:
The Document Control Manager will provide mentorship and direction to the document control team as well as perform senior level document control work under general direction and supervision of senior staff.
As Team Coordinator responsibilities:
Lead the definition of document control processes
Manage document control team workload including resource levelling as well as project prioritization and sequencing
Assist with project estimation pertaining to document control effort
Assist in the recruitment of document control team members and performance management
Set-up quality control plans and procedures and manage QA/QC of document control deliverables
Instruction and education of staff on document control procedures
Document Control responsibilities:
Understand client sign-in / sign-out procedures
Support change management process including tracking and issuing of controlled document numbers and revisions
Consolidate and issue engineering deliverables in accordance with project procedures
Maintain and periodically update internal specifications to latest revisions
Maintain drawings and documents on Electronic Drawing Management System, ensuring latest revision is posted and accessible
Categorize, sort and file hard copy documents using corporate filing system
Identify non-active documents and package them for transfer to inactive storage
Maintain and update relevant project information in manual and/or electronic files, including project plans and activity schedules, project status reports, project correspondence, deliverable tracking databases and recovery plan documentation
Attend project meetings and update action lists and project reports
Review specifications and engineering documents for accuracy, completeness and consistency of requirements
Non-Technical review of specifications and engineering documents for accuracy, completeness and consistency of requirements
Customer Support:
Confer with document originators or engineering liaison personnel to resolve discrepancies and compile required changes to documents
Secure and restrict proprietary drawings
Assist clients with their requests by retrieving electronic or hard copy documentation from its respective source
The Document Control Manager will typically use the following programs in the preparation of technical drawings and documents:
MS Office
LiveLink
Records Management Software (Versatile Enterprise, Documentum, SharePoint)
Candidate Profile:
Extensive knowledge of records/information management principles and experience with File Classifications: A diploma in Records Management will be considered an asset
5+ years experience in Document Control managing engineering and other technical records
Work experience with Records Management tools and software
Customer focused, team oriented working style and experience with the flexibility and adaptability required within a team
Ability to communicate clearly and concisely in multiple forms of media
Ability to interact with all levels of employees and managers
