Within the established corporate policies and reporting to the Accounting Administrator and/or Accounting Manager, this position is responsible for performing all reception duties and providing administrative assistance to all office staff as required.
Provide support for all office staff (i.e. creating templates, general typing, faxing, filing and other duties as required).
Greet guests; answer & direct enquiries through phone system
Open & distribute mail; deliver mail to post office when required
Arrange and receive courier packages
Take deposits to bank
Prepare meeting material as required
Organize and book travel arrangements as required
Track office coffee and beverage supplies; create order for review when required
Track office supplies (paper/pens etc); create order for review when required
Track bathroom supplies (toilet paper, hand towels, soap); create order for review when required
Research and plan company social functions (i.e. Christmas party, release parties, etc) liaising with Accounting Manager
Set up and maintain complete, accurate and organized vendor files (hard & soft copy)
Set up and maintain complete, accurate and organized Customer Contract and A/R files (hard & soft copy)
File all processed accounts receivable and payable transactions
Overall maintenance and organization of filing systems
Other duties or special projects as assigned
Accounting – A/P
Draft purchase orders, in accordance with company purchase request policy; follow up on outstanding orders
Review and enter all expense reports; ensuring compliance with expense report policy (i.e. All signatures present; all receipts provided)
Fluency in English (both written and verbal)
Proficiency in Quickbooks & Microsoft Office Suite
Ability to communicate effectively with all levels of staff within the organization
Excellent organizational, multi-tasking and time management skills
