PROGRAM DESCRIPTION
The YMCA Summer Work / Student Exchange is a national exchange program offering opportunities for youth to personally develop and to improve their second language skills, while gaining important paid employment experience. The exchange lasts for 6 weeks; from late June until mid August. Youth are twinned with a community in another province where the other official language predominates, to deepen their cultural and language experiences through immersion. Youth will be hosted by a family in their twin community, supported by a Local Coordinator and, will be also be provided with an appropriate employment placement. To support participants, field staff will be hired and trained to ensure that participants can access a local support network of YMCA staff and peers. These staff members contribute largely to this enriching experience by planning and implementing a diverse program for participants during evenings and week-ends and being a positive adult mentor

POSITION DESCRIPTION
Support Coordinators will be post-secondary students. They will report to a Regional Coordinator and act as a bridge between that Regional Coordinator and a group of Local Coordinators who they will lead and support. In turn, each Local Coordinator will then work with a group of up to 10 exchange participants in their local community. As the program is national in scope, Support Coordinators will be required to work with and assist staff over a large geographic area. In the winter and spring months, they will assist regional staff with hiring of Local Coordinators, and work to promote the program. Once the exchange commences they will focus on the support of the exchange and its participants directly. Support Coordinators will help plan and initiate program activities with participants and staff members that fall within the program mandate. The Support Coordinator will work closely with their Local Coordinators to help resolve any conflicts that arise within their region. Successful candidates will have had previous experience working with youth, will posses and utilize strong communication and organizational skills, and be highly responsible and reliable individuals.

RESPONSIBILITIES

  • Maintain regular communication with Regional Coordinator (supervisor), Local Coordinators and local community partners.
  • Provide support to their Local Coordinators in the promotion of program, the selection of participant and families, budgeting of funds, and ensuring smooth operations locally. The Support Coordinator will lead relationship building with members of the local community.
  • Assist the Regional Coordinator through monitoring and training with in their region.
  • May be required to assume the role of Local Coordinator in situations that warrant it, as assessed by the Regional Coordinator.
  • Must be accessible to their supervisor and to the Local Coordinators that they are responsible to support at all times during the exchange.
  • Assist in collection of final reports from Participants, Families, Employers, Local Coordinators and Local Support Organizations.
  • Fulfill administrative duties in a timely and efficient manner.
  • Write a comprehensive report at the end of the summer summarizing the program’s results.
  • Support participants’ travel which may include chaperoning participants to and from their host communities at the start and end of the program or provide logistical support at departure points.
  • Provide assistance to Regional Coordinator with the interview process for Local Coordinators.
  • Models appropriate behaviours to staff in line with our Mission, Vision and Values; establishes rapport and maintains effective relationship building behaviours with staff and members. Represents the YMCA and the Association in a professional manner.
  • Understands and integrates the value of philanthropy and volunteerism and imparts this knowledge and belief upon staff, volunteers and members.
  • Other duties as assigned.

LOCATION, PERIOD OF EMPLOYMENT, AND SALARY
Positions are available throughout Canada. Support Coordinators must live within their assigned region.
Support Coordinators will work part-time hours between January and March and 25% of full-time hours from April 1-30, 60% of full-time hours from May 1-June 14, and 100% of full-time hours from June 15-August 23. The starting full-time salary is $500/week, pro-rated during the part-time period.

QUALIFICATIONS/SKILLS
o One year experience with the program as a local coordinator and / or relevant experience
o Strong leadership and problem solving skills
o Well developed interpersonal, and relationship building skills; ability to establish rapport and excellent communication with participants, families, employers, volunteers, community members and other staff
o Excellent written and oral communication skills
o Able to work independently
o Experience managing a budget and / or administration is an asset
o Experience and sensitivity in dealing with members of different cultural and racial backgrounds, including visible and non-visible dimensions of diversity.
o Bilingualism in both official languages is an important communication asset for this program
o Strong preference will be given to candidates with experience in youth exchanges

ELIGIBILITY
o Must be currently attending, or enrolled in, a post-secondary institution
o Have internet access for the duration of employment
o Have a valid driver’s licence and access to a vehicle that is insured
o Have valid Emergency First Aid/CPR certification before the start of the exchange
o Must be willing to make the Support Coordinator position your primary professional commitment during the period of full time employment with Summer Work Student Exchange.
o Able to attend and support 3 mandatory paid trainings; in January, March and May, dates confirmed at time of hiring.
